Calendar management services for trades & home services

AssistBPO's calendar management services for trades and home services companies keep three calendars that never agree in agreement. The tech and crew calendar, the install calendar and the owner's own day.

Your calendar assistant owns them in your hours. Tech time off, training days and truck maintenance are blocked before the board is built so the dispatcher never books a tech who is at the dealership.

How does calendar management work for home services?

Install days are set only after deposit, equipment delivery and the permit are confirmed, with the crane or the electrician booked in sequence. City inspections are placed against the crew's schedule with the two-hour window the inspector gave. Sales appointments for system replacements are booked into your comfort advisor's calendar with drive time between homes. Your own week gets protected blocks for estimates, supplier meetings and the Friday numbers review. When a delivery slips or an inspector reschedules, the assistant moves the dependent appointments and tells each party. Each evening the end-of-day report shows tomorrow's calendar with addresses, gate codes and contact numbers for every stop, and a note on anything that moved.

The KPI that matters here

Install days that start on the scheduled date with equipment, permit and crew all confirmed, and double-bookings per month across tech and install calendars. Both are reviewed weekly.

What rules does calendar management follow for home services?

  1. TCPA for follow-up calls and texts. Estimate follow-ups, tune-up reminders and review requests go only to customers who gave consent on your booking form or service agreement, inside 8am to 9pm local time, after do-not-call scrubbing, under the Telephone Consumer Protection Act enforced by the FCC. Purchased homeowner lists are never dialed.
  2. License numbers on ads and estimates. Many states require your contractor license number on advertising, estimates and social posts; California's CSLB and Florida's DBPR are two examples. Your assistant keeps the number on every template and never describes work your license does not cover.
  3. Review requests under the FTC rule. Review requests go to every customer after a completed job, not only the happy ones, and nobody is paid or given a discount for a review, following the FTC's Consumer Reviews and Testimonials Rule and Google's review policies. Replies never reveal a customer's address or account details.
  4. Card payments and PCI DSS. Deposits and payments are taken only through your ServiceTitan, Jobber or Housecall Pro payment link or portal. The assistant never writes down a card number or stores one in a note, in line with PCI DSS.

Frequently asked questions

How does this differ from dispatch?

Dispatch is today: who goes where, in what order, and what moves when a job runs long. Calendar management is the weeks ahead: install dates with their dependencies, inspections, time off, training, sales appointments and your own week. The calendar assistant feeds dispatch a clean tomorrow; the dispatcher owns the live board. Many clients staff both from the same pod with one team lead.

Can you coordinate installs that need a crane, a sub or the utility?

Yes. Each install job type has a dependency checklist recorded during onboarding: rooftop units need the crane and a street permit, panel upgrades need the utility disconnect and the inspection, generators need the gas sub and the electrical inspection. The assistant books each dependency in order, confirms the day before, and reschedules the chain if any link slips, telling the customer once with a single revised date.

Will the assistant manage my personal calendar as the owner?

If you want. Owners usually hand over the estimate appointments, supplier and manufacturer rep meetings, the weekly numbers review, hiring interviews and family blocks that must not be booked over. The assistant confirms each appointment the day before, adds prep notes such as the customer's equipment history for an estimate, and never accepts a booking into a protected block without asking you first.
