How does calendar management work for accounting?

AssistBPO gives you a named assistant who owns partner and manager calendars in Microsoft 365 or Google Workspace, blocks review and preparation hours that nothing overrides, places client meetings inside agreed windows, books internal review and production huddles, and keeps deadline days clear. Reschedules are handled directly with clients and the partner told once. The assistant also runs the annual firm calendar: CPE deadlines, license renewals, professional body filings, software renewals, staff reviews and the planning season schedule, and sends a Friday view of next week against the deadline list. Where the firm uses LedgerBPO for billing, the assistant books the monthly billing review so partners approve invoices on time. A backup covers leave so the calendar is never unmanaged during a deadline week.

What tasks does calendar management cover for accounting and bookkeeping firms?

  • Block review and preparation hours that survive the season
  • Place client meetings inside agreed windows and clear deadline days
  • Attach client, entity and workflow link to every event
  • Book internal review meetings and the weekly production huddle
  • Handle reschedules directly with clients and tell the partner once
  • Run the firm calendar: CPE, license renewals, filings, software renewals
  • Book the monthly billing review with LedgerBPO where used
  • Send a Friday view of next week against the deadline list

The KPI that matters here

Protected review hours kept per partner per week during season. Partners who keep their review blocks finish returns; partners who lose them extend.

What rules does calendar management follow for accounting?

  1. No tax advice or signing. Under IRS Circular 230 and PTIN rules, only your preparers and licensed professionals give tax advice, sign returns or represent clients. In the UK that work sits with the firm's chartered or certified accountants; in Australia only a registered tax or BAS agent under the TPB Code provides tax agent services. Assistants collect, chase, schedule and organize.
  2. IRC Section 7216 and client confidentiality. Section 7216 and Treasury Regulation 301.7216 restrict how tax return information is used and disclosed, and the AICPA Code of Professional Conduct rule 1.700 requires client confidentiality. The firm confirms its disclosure and consent position before an assistant sees return data, and the assistant works only inside the firm's systems under NDA.
  3. FTC Safeguards Rule and your WISP. Tax preparers are financial institutions under GLBA, and the FTC Safeguards Rule (16 CFR Part 314) plus IRS Publication 4557 require a written information security plan. Assistants operate under your WISP: MFA, managed devices, least-privilege portal access and no local copies, including for files handled from the second office in Pakistan.
  4. AML client due diligence and privacy abroad. UK firms run client due diligence under the Money Laundering Regulations 2017, supervised by HMRC or their professional body; assistants collect ID and verification documents into the firm's system while the MLRO makes every decision. Canadian firms apply PIPEDA and Australian firms the Privacy Act, including APP 8 for cross-border handling.

Frequently asked questions

Can you manage calendars for the whole firm?

Yes. One assistant typically manages calendars for 4 to 8 partners and managers with a shared naming and color convention, so the firm view reads at a glance. Larger firms run a pod with a team lead. Each partner's preferences, such as no meetings before 10am or Friday review blocks, are written in the desk manual and respected by the backup. Staff calendars for preparers are usually managed through the production huddle rather than individually.

How does the assistant know our deadlines?

The deadline list is loaded in onboarding and updated from your workflow tool: federal and state due dates, extensions, estimated payment dates, payroll filings, plus UK self assessment and Companies House dates or Australian lodgment dates where you serve those clients. Deadline days are blocked automatically, and the assistant checks the workflow tool's open engagements before placing a meeting on a heavy day.

What about partner personal and firm-wide dates?

The assistant keeps the firm calendar alongside the client calendar: CPE reporting deadlines, state board license renewals, professional body memberships, software and insurance renewals, staff reviews, the planning season schedule and firm events. Reminders go out at 60, 30 and 10 days. Personal appointments are also handled if the partner wants them managed, with the same discretion as client work.
