What is a listing coordinator?

What is a listing coordinator? A listing coordinator is the team member who prepares a property for market and keeps it running until it goes under contract. They gather seller documents, schedule photography and staging, enter the listing in the MLS, build marketing pieces, syndicate to portals, and handle price changes, feedback and status updates.

How does a listing coordinator work?

  1. Collect the signed listing agreement, seller disclosures, HOA documents and keys or lockbox codes.
  2. Book the photographer, floor plan and staging, then write the listing description from the agent's notes.
  3. Enter the listing in the MLS with correct fields, photos and showing instructions, and check syndication the next morning.
  4. Produce the flyer, social posts and just-listed email, and get the open house on the calendar.
  5. Log showing feedback, send the seller a weekly report and process price changes or status updates the same day.

A worked example

A solo agent in suburban Ohio took 12 listings in one spring and was writing MLS descriptions at midnight. A listing coordinator built a two-page seller intake, booked photos within 48 hours of signing, and drafted every description in the agent's voice for a quick approval. She entered each listing in the MLS on the agreed launch day, checked Zillow and Realtor.com for errors the next morning, and sent sellers a Friday summary of showings and feedback. Listings went live about five days sooner than before, and sellers stopped calling to ask what was happening.

Where does a listing coordinator show up in your tools?

Listing coordinators live in the local MLS system, Canva for flyers, and the team CRM such as Follow Up Boss or kvCORE for seller updates. Showing feedback often arrives through ShowingTime, and the launch checklist usually sits in Trello or Asana.

Common mistakes

  • Publishing the listing before the photos and floor plan are ready, then losing the launch-day attention.
  • Typing square footage, taxes or HOA fees from memory instead of the source documents.
  • Forgetting to update the status after an accepted offer, which triggers agent complaints and MLS fines.

Why does a listing coordinator matter?

Listings are how an agent's reputation is judged in public. A coordinator who launches clean, on time and with weekly seller communication produces more referrals and fewer withdrawn listings, and gives the agent back the evenings they were spending on data entry.

How does AssistBPO handle a listing coordinator?

Our listing coordinators take a property from signed agreement to active status inside your MLS and marketing tools, using a launch checklist we build with you in the first week. Seller updates go out on a fixed day, and any outbound calls to past clients for reviews or referrals happen with lawful consent and do-not-call scrubbing. A backup coordinator is trained on your checklist so a launch never waits on one person.
