Why do CloudTalk users need a virtual assistant?
CloudTalk gives a ten-person team the call handling of a much larger one: a Call Flow Designer that branches by number, country and business hours, skill-based routing, VIP queues, ring groups, a Power Dialer that runs a list with a script and a survey attached, and a wallboard showing all of it live. None of that answers a call. What usually happens is that the flow was built once during onboarding and nobody has touched it since, the Power Dialer campaign has four hundred untouched rows, calls are ending with no tag so the analytics are guesswork, and the numbers you bought in three countries ring into the same tired voicemail. An assistant is the person the design assumed. They sit in the queues in your hours, tag and note every call, work the dialer lists you approved with lawful consent and do-not-call scrubbing, and tell your admin exactly which step of the flow is wrong.
What can a virtual assistant do inside CloudTalk?
- Ring groups, queues and VIP routing
- Answers as an agent in the ring groups and queues you assign, respects preferred agent and VIP queue rules, keeps agent status honest so routing works, and clears the missed call list before signing off.
- Call Flow Designer and IVR
- Maps your call flow step by step, tests each branch and each business hours rule from an outside line every month, and hands your admin a written list of the prompts, holidays and fallbacks that need changing.
- Power Dialer campaigns
- Runs the campaigns you approve, reads from the call script attached to the campaign, completes the after-call survey fields, and works only lists prepared with lawful consent and do-not-call scrubbing.
- Smart Dialer and click-to-call
- Builds a one-click queue from numbers found in your CRM or on a page using the click-to-call extension, which suits research-led follow-up where each call needs a different opening.
- Call tagging and notes
- Applies your call tags and contact tags consistently so the analytics mean something, writes a short call note on every conversation, and checks the automatic summaries and tags before relying on them.
- Text messages and WhatsApp
- Replies to inbound SMS and WhatsApp messages from approved templates, sends confirmations and reminders with lawful consent and do-not-call scrubbing, and records every opt-out the same day.
- Callbacks, voicemail and missed calls
- Works the callback queue in the order your rules set, returns voicemails inside your callback window, and uses voicemail drop for the repeat messages you have signed off.
- Analytics, dashboard and wallboard
- Pulls agent reporting, group reporting and the talk to listen ratio each week, watches the real-time dashboard during busy hours, and flags the half-hours where the queue is running without cover.
Integrations we handle
-
CloudTalk and HubSpot
Two-way sync puts calls, tags and notes on the contact record, and the assistant creates the follow-up task for the owner from inside CloudTalk.
-
CloudTalk and Pipedrive
Logs calls against the deal, moves the stage when the outcome says so and books the next activity before ending the call.
-
CloudTalk and Zendesk
Raises a ticket from a support call with the recording link attached, or updates the open ticket the caller is ringing about.
-
CloudTalk and Intercom
Reads the conversation history before answering so the caller does not repeat themselves, and writes the call outcome back to the Intercom user.
-
CloudTalk and Shopify
Opens the customer and their order history as the call connects, so order, delivery and returns questions are answered on the first call.
-
CloudTalk and Zapier
Sends missed calls and new campaign outcomes to a sheet or task board, and the assistant reviews failed runs weekly.
