What rules does email management follow for IT & MSP?

  1. HIPAA for MSPs serving healthcare clients. Where your clients are covered entities, our technicians work as part of your business associate obligations under HIPAA, enforced by the HHS Office for Civil Rights: HIPAA-trained staff, a BAA, minimum-necessary access and no protected health information stored outside the client's systems.
  2. Least privilege and client tenant access. Technicians hold only the roles you assign in each client tenant, RMM and PSA, with MFA on every login and no global administrator rights unless your change process approves it. Access is logged and revoked the same day a technician leaves a desk.

How does the assistant decide which alert emails matter?

From a severity table you build with us during onboarding: which backup, RMM, security and Microsoft 365 messages are critical, which are informational and which are noise. Critical alerts are phoned or messaged to the on-duty engineer and ticketed; informational ones are ticketed at low priority or logged; noise is filtered. The table is reviewed weekly as tools and clients change, and any alert the assistant cannot classify goes to an engineer by default.

Can the assistant reply to clients from our support address?

Yes, within the rules you set. Routine acknowledgments and status updates go out from the support address in your tone, with the ticket number, and the assistant names themselves as part of your service desk. Anything with technical content, pricing or a commitment is drafted for an engineer or the owner to approve. Every sent email is logged to the ticket so the thread is visible to whoever picks it up next.

What about the owner's personal inbox?

Many MSP owners hand their own inbox to the same assistant under delegated access. Client escalations are flagged first, vendor and distributor emails are routed to the right process, meeting requests go to the calendar with prep notes, and newsletters are filtered. Personal or labeled-private threads are left alone. The owner gets a short summary 3 times a day and an inbox that takes 15 minutes to clear rather than 2 hours.
