How does client intake work for IT & MSP?

A weak intake shows up for months as tickets nobody can route and credentials nobody can find. Your AssistBPO intake specialist works your hours on a structured onboarding intake, walks the new client's office manager or IT contact through your questionnaire by call and secure form, chases the missing items on day 1 and day 3, records everything in IT Glue and the PSA with the approver list attached and hands your onboarding engineer a complete pack. The same desk runs new-user intake for existing clients, collecting role, manager, start date, applications, hardware and approver sign-off before a ticket opens, and project intake for network, migration and hardware refresh requests. Sales inquiries are qualified with your questions and booked with the account manager.

What tasks does client intake cover for IT companies and MSPs?

  • Run the new-client onboarding questionnaire by call and secure form
  • Collect sites, users, approvers, ISP, domain, licensing and vendor details
  • Chase missing items on day 1 and day 3 and track completeness per client
  • Record everything in IT Glue and the PSA with the approver list attached
  • Hand the onboarding engineer a complete pack with open questions listed
  • Run new-user intake for existing clients before a ticket is opened
  • Capture project intake for migrations, network work and hardware refreshes
  • Qualify inbound sales inquiries and book them with the account manager

The KPI that matters here

Share of new clients with a complete onboarding pack before the engineer's first scheduled day, and days from signed agreement to complete intake.

What rules does client intake follow for IT & MSP?

  1. HIPAA for MSPs serving healthcare clients. Where your clients are covered entities, our technicians work as part of your business associate obligations under HIPAA, enforced by the HHS Office for Civil Rights: HIPAA-trained staff, a BAA, minimum-necessary access and no protected health information stored outside the client's systems.
  2. Least privilege and client tenant access. Technicians hold only the roles you assign in each client tenant, RMM and PSA, with MFA on every login and no global administrator rights unless your change process approves it. Access is logged and revoked the same day a technician leaves a desk.
  3. Call recording and data protection rules. Support calls carry a recording notice in two-party consent states such as California (Penal Code 632). For UK, Canadian and Australian MSPs, end-user data is handled under UK GDPR (ICO), PIPEDA (Office of the Privacy Commissioner) and the Privacy Act 1988 (OAIC).
  4. TCPA for outbound sales calls. Any outbound prospecting by phone, text or email runs with lawful consent and do-not-call scrubbing under the FCC's TCPA rules and the FTC's CAN-SPAM Act, with PECR, CASL and Do Not Call Register rules applied in the UK, Canada and Australia.

Frequently asked questions

What does an MSP onboarding intake need to capture?

Company and sites with access hours, primary and secondary contacts, the list of approvers for changes and new users, user directory with roles, ISP and circuit details, domain registrar and DNS host, Microsoft 365 or Google Workspace tenant details, existing licenses and renewal dates, backup and security tools, line-of-business applications and their vendors, printers and network devices, and any compliance obligations such as HIPAA. The specialist collects these in your order and records them in your documentation tool.

How are credentials collected safely during intake?

Never by email or chat. The specialist asks the client to enter credentials directly into your documentation tool or password manager through a secure invite, or to share them over a verified call that is recorded into IT Glue immediately and not written anywhere else. The specialist works on a managed device with MFA and no local storage, and access to the client's entry is removed once onboarding completes if your policy requires it.

Does the same desk handle new-user requests for existing clients?

Yes, and it prevents most onboarding tickets from bouncing. The specialist confirms the request with a named approver, collects role, manager, start date, applications, groups, hardware and any special access, and only then opens the ticket for your technician or onboarding assistant with every field complete. Leaver requests follow the same approval rule with a phone confirmation for urgent cases. The client sees one contact for the whole process.
