What is a UTM parameter?

What is a UTM parameter? A UTM parameter is a tag added to the end of a link so analytics can record where a visitor came from. The five standard tags are source, medium, campaign, content and term, and they sit after a question mark in the URL. GA4 reads them and groups traffic accordingly.

How does a UTM parameter work?

  1. Source names the platform, medium names the type of link, and campaign names the specific promotion.
  2. Use lower case everywhere, because Facebook and facebook are counted as two different sources.
  3. Write a one-page naming convention and keep a shared build sheet so everyone tags links the same way.
  4. Tag email, social, paid ads, QR codes and partner links, and never tag internal links on your own site.
  5. Pass the values into a hidden form field so they land on the CRM record, not just in analytics.

A worked example

A pet supply store in Colorado sent a monthly newsletter, posted on Instagram and ran a small Google Ads budget. In GA4 half the traffic showed as direct because nobody tagged links. An assistant built a tagging sheet, retagged every campaign link and added hidden UTM fields to the store's quote form. The next month direct traffic fell by a third and the newsletter turned out to be the second largest source of online orders, which nobody had suspected.

Where does a UTM parameter show up in your tools?

UTMs are built by hand, with Google's Campaign URL Builder, or automatically by Klaviyo and Mailchimp on email links. GA4 reports them under traffic acquisition, and hidden fields in HubSpot or Airtable carry the same values onto the contact record.

Common mistakes

  • Inconsistent casing and spelling, which splits one campaign across four rows in the report.
  • Tagging internal links, which restarts the session and credits your own site as the source.
  • Capturing UTMs in analytics only, so you can see visits by campaign but never revenue by campaign.

Untagged links collapse into direct and unassigned traffic, which is where most small business marketing evidence goes to die. Five tags on a link, written the same way every time, is the difference between guessing at your channel mix and knowing it. It costs nothing but discipline.
