What is a travel itinerary? A travel itinerary is a single document listing everything about a trip in time order: flights, hotels, ground transport, meetings, confirmation numbers, addresses and contacts. It replaces a scatter of confirmation emails with one reference the traveler can open offline when a connection is missed or a plan changes.

How does a travel itinerary work?

  1. Build it chronologically in the traveler's local time at each point, with time zone noted at every change.
  2. Put confirmation numbers, terminal information, addresses and phone numbers beside the item they belong to.
  3. Include the ground gaps everyone forgets: airport transfer time, check-in, and how the traveler gets to the first meeting.
  4. Add a backup line for each risky leg, such as the next flight out or an alternative hotel with its number.
  5. Send it as a document that works without signal, and mirror the key events into the traveler's calendar.

A worked example

A founder flying from Chicago to a three-city customer tour kept nine confirmation emails on her phone. Where does a travel itinerary show up in your tools?
