How does RMA work?
- Check the request against the return policy: window, condition, proof of purchase and any non-returnable categories.
- Issue the RMA number with a label or drop-off instructions and a deadline for the parcel to arrive.
- Record the RMA against the order in the store or ERP so the warehouse knows what is coming.
- Inspect the item on receipt, grade its condition and confirm the outcome the customer was promised.
- Close the RMA by issuing the refund, replacement or repair, and note the reason code for reporting.
A worked example
A small electronics brand selling through its own WooCommerce site and Amazon was refunding returns before parcels arrived and sometimes never received them. An assistant introduced a proper RMA step. Every return request now gets a number, a prepaid label and a 14-day arrival deadline, and she logs it in a returns sheet linked to the order. When the warehouse scans a parcel in, she checks condition against the photos the customer sent, then issues the refund or ships a replacement the same day. Refunds on parcels that never arrived stopped, and the reason codes showed one charger model behind most of the returns.
Where does RMA show up in your tools?
RMAs are managed through returns apps such as Loop and Returnly on Shopify, the Manage Returns page in Amazon Seller Central, and native RMA modules in ERPs like NetSuite. Smaller sellers track them in an Airtable base with the RMA number as the key.
Common mistakes
- Refunding at the moment of request, before the item is back and inspected.
- Skipping the RMA number, so the warehouse receives an unlabeled box and cannot tell whose it is.
- Ignoring reason codes, which is where the product and listing problems are hiding in plain sight.
