How does order processing work?
- Capture: the order arrives from the store, marketplace, phone or email and is checked for a valid address and payment.
- Review: flag high-risk orders, out-of-stock lines and PO box addresses that a carrier will refuse.
- Fulfill: release the order to the warehouse or 3PL before the daily cut-off with the right service level.
- Notify: send tracking, then watch for delivery exceptions and reach out before the customer has to.
- Reconcile: match shipped orders to invoices and marketplace settlements at the end of each day.
A worked example
A supplement brand selling on Shopify and Amazon was shipping about 120 orders a day through a 3PL in Nevada. Orders with apartment numbers in the wrong field kept bouncing back. An order specialist started reviewing the morning queue at 7am Pacific: she corrected addresses using the carrier's validation tool, held two orders that failed the fraud screen for the owner's decision, split a backordered SKU so the rest could ship, and released everything before the 11am cut-off. Tracking emails went out by 3pm, and the 3PL's exception report dropped to one or two lines a day.
Where does order processing show up in your tools?
Order processing happens in the Shopify orders screen, Amazon Seller Central's manage orders view, and 3PL portals such as ShipBob or ShipStation. Many stores connect these with Zapier or the platform's own integrations so a paid order creates a fulfillment request without retyping.
Common mistakes
- Releasing orders to the warehouse without an address check, then paying twice for shipping when they bounce.
- Treating every backorder as a full hold instead of shipping what is available and telling the customer.
- Sending tracking numbers without watching them, so the customer discovers a lost parcel before you do.
Why does order processing matter?
Every order is a promise with a date attached. Tight processing keeps delivery promises, cuts shipping waste from bad addresses, and stops the support inbox filling with questions that a proactive email would have answered.
How does AssistBPO handle order processing?
Our order specialists work inside your own store, marketplace and 3PL accounts with their own named logins, so every action shows who did it. Payment details stay within your checkout and processor; we see order status, never full card numbers. The queue is cleared before your cut-off each day, and exceptions are listed by order number in the end-of-day report.
