How does client intake work for fitness & salons?

Your intake specialist takes every new client through the same steps: contact details and preferred contact method, the service they want and why, provider preference, how they found you, and anything your service requires such as allergies, medications, skin or scalp history, recent treatments, pregnancy, injuries or medical clearance for a training program. Patch test requirements for color services are booked as a separate appointment inside the required window. Membership and package agreements are sent with the terms, the billing date and the cancellation policy clearly stated. First-visit instructions cover parking, entry, what to bring and what to expect. Everything is entered on the client record the same way every time, and new intakes are reported daily.

  • Book patch test appointments inside the window your color service needs
  • Chase incomplete forms before the appointment rather than at the door

  • Send first-visit instructions covering parking, entry and what to bring
  • Enter every intake on the client record and report new intakes daily

The KPI that matters here

First appointments that start with a completed form on file, and new clients who rebook a second visit. The weekly review compares intake completeness and rebooking by source.

What rules does client intake follow for fitness & salons?

  1. Membership and auto-renewal rules. Recurring memberships are governed by the Restore Online Shoppers' Confidence Act and the FTC's negative option rules, plus state statutes such as the California Automatic Renewal Law and the health club contract acts many states apply to gyms and studios. Cancellation must be as easy as signup, and cooling-off periods apply in several states. Your assistant follows your written policy exactly, processes every cancellation request the client is entitled to, and never uses a retention script to refuse one.
  2. TCPA for reminders and promotions. Appointment reminders and confirmations are transactional, but promotional texts and calls need express consent under the Telephone Consumer Protection Act enforced by the FCC. Consent is captured at booking or signup, marketing and reminder consent are recorded separately, every text carries opt-out wording, STOP requests are actioned immediately, and outbound retention calls stay inside 8am to 9pm local time after do-not-call scrubbing.
  3. Card details stay in your payment flow. Assistants never read, type or store a full card number. Deposits, packages and memberships are taken through your own terminal, your booking platform's hosted payment page or a payment link sent to the client, which keeps card data inside your own environment under PCI DSS rules. Where a client wants to pay by phone, the assistant sends the link and confirms afterward that the payment posted.
  4. No treatment or medical advice. Assistants describe your service menu, duration and pricing as published and collect the answers on your consultation form. They never advise on a treatment, assess a skin or hair condition, comment on a contraindication or recommend a course of medical aesthetic treatment. Those conversations belong to your licensed cosmetologist, esthetician, therapist or medical provider under your state board or medical board rules, and the assistant books the consultation instead.

Frequently asked questions

Which forms should go out before the visit?

Whatever your provider needs to see before they touch a client: a general health and contact form, a service-specific consultation form, allergy and medication history, consent for the treatment, photo consent if you use images, and your cancellation and deposit policy. Sending them at booking rather than on arrival gives your provider time to read them, gives the client time to answer properly, and gives you a record that was completed before the appointment.

Can you manage patch test requirements?

Yes, and it is worth systemizing because the window matters. When a client books a color or lash service that requires a patch test, the assistant checks the record for a valid recent test, books the test as a separate appointment inside the required window if there is not one, explains why it is needed, and blocks the main appointment until it is done. Clients who miss the test are rescheduled rather than treated.

Does intake give advice about treatments?

No. The specialist explains what a service is, how long it takes and what it costs from your published menu, and collects the answers on your forms. Whether a treatment suits a client's skin, hair, condition or medication is a licensed judgment for your cosmetologist, esthetician, therapist or medical provider, so the specialist books a consultation instead and flags the question on the record so your provider sees it before the client arrives.
