Email management virtual assistant for construction & development

AssistBPO's email management virtual assistant for construction and development firms clears the project inbox that fills faster than anyone can read it. Invitations to bid, addenda, submittal returns, RFI responses, drawing revisions, subcontractor quotes, supplier invoices, certificates of insurance, permit notices and a hundred messages that belong in a project folder rather than a mailbox.

How does email management work for construction?

Your assistant works in your Outlook or Google Workspace in your hours with a filing and triage rulebook you approve. Every project email is filed to the correct job folder and, where you use Procore or Buildertrend, uploaded to the right module so the record lives in the project rather than in one person's mail. Addenda are checked against the bid calendar and circulated to everyone holding plans. Submittal returns and RFI responses are logged and distributed to the affected trades the day they arrive. Invoices go to accounts payable with the purchase order matched. Certificates are checked against requirements and filed. What remains is a short waiting-on-you list with the project named on each item.

What tasks does email management cover for construction and development firms?

  • File every project email to the right job folder and project management module
  • Check addenda against the bid calendar and circulate to plan holders
  • Log submittal returns and distribute the approved copy to the field
  • Record RFI responses and send them to every affected trade
  • Match supplier invoices to purchase orders and send to accounts payable
  • Check incoming certificates of insurance against contract requirements
  • Flag permit notices, correction letters and agency deadlines immediately
  • Leave a waiting-on-you list with the project named on each item

The KPI that matters here

Project emails filed to the job record the day they arrive, and hours between an addendum landing and the plan holders receiving it. Both appear in the end-of-day report.

What rules does email management follow for construction?

  1. Lien waivers are administrative, not legal advice. Assistants issue the waiver forms your company uses, chase signatures from every tier, log what has been received and flag deadlines from the calendar you set. They never advise on lien rights, never prepare or record a mechanics lien, never sign a waiver, and never interpret whether a notice was timely. State mechanics lien statutes, such as those in the California Civil Code and the Texas Property Code, set the deadlines, and your attorney decides what they mean for a given job.
  2. Certified payroll and prevailing wage. On federally funded work, weekly certified payroll reports are required under the Davis-Bacon and Related Acts administered by the US Department of Labor, with state prevailing wage rules adding their own forms and portals. Assistants prepare and submit the reports in LCPtracker or the agency portal from your payroll data, chase subcontractor submissions and track compliance by week. The statement of compliance is signed by an officer of your company, never by an assistant.
  3. Subcontractor insurance and licensing verification. Certificates of insurance are checked against your contract requirements for limits, additional insured status, waiver of subrogation and primary and noncontributory wording, and license status is checked against the state contractor licensing board's public register. The assistant collects, verifies against your checklist and flags gaps; your project manager or risk contact approves. Expiring certificates are chased before the date, not after a claim.
  4. Outbound contact rules. Outreach to homeowners, developers and repeat owners goes out with lawful consent and do-not-call scrubbing under the Telephone Consumer Protection Act enforced by the FCC: calls inside 8am to 9pm local time, scrubbing against the National Do Not Call Registry and your internal list, and opt-out wording on every text. Storm-chasing calls to disaster-affected homeowners are not made, and several states restrict solicitation after a declared disaster.

Frequently asked questions

Should project email live in the mailbox or in Procore?

In the project system, always, with the mailbox as the delivery route rather than the record. The assistant uploads correspondence to the right module: submittals to submittals, RFI responses to the RFI, drawings to the current set, and general correspondence to the project documents with a consistent naming convention. That way the record survives a staff change, and a dispute two years later is answered from the project rather than from someone's archive.

Can the assistant reply to subcontractors and suppliers?

On administrative matters, from your templates: acknowledging a quote, confirming a document was received, requesting a missing certificate, sending an addendum, confirming a delivery date, chasing a submittal. Anything about scope, price, change orders, schedule commitments or contract terms is drafted or routed to your project manager. Because the assistant works in your own mailbox, every reply sits in your sent folder and your project record.

How do you handle addenda during a bid?

As the highest priority in the queue. When an addendum is issued, the assistant downloads it, notes what changed, circulates it to every subcontractor and supplier holding plans with the change summarized, records acknowledgment where the plan room tracks it, and tells the estimator immediately. Missing an addendum is one of the few administrative errors that can lose a job outright, so it is checked against the bid calendar twice a day during an open bid.
