What is a freelancer?

What is a freelancer? A freelancer is a self-employed person who sells work directly to clients, usually by the hour or by the project, and carries their own taxes, equipment, insurance and time off. Freelance assistants are typically found on marketplaces, work for several clients at once, and are managed by each client separately.

How does a freelancer work?

  1. The client finds, interviews, hires, trains and supervises the person, with no agency or team lead in between.
  2. Payment is direct, by invoice or through a marketplace that takes a percentage and holds the payment record.
  3. There is no cover: when the freelancer is sick, on vacation or busy with another client, the work stops.
  4. The client carries classification risk if the working relationship looks like employment under local law.
  5. Marketplace rates are visible and low, with Upwork virtual assistant pay reported around a $13 median hourly rate.

A worked example

A wedding photographer in Georgia hired a freelance assistant on a marketplace to answer inquiry emails and keep the booking calendar. It worked for five months. Then the freelancer took a larger retainer elsewhere, replies slowed to two days, and she left with the inquiry templates in her own account. Rebuilding the templates and training a replacement took the photographer most of a month, during peak season, and two inquiries went unanswered long enough to book elsewhere.

Where does a freelancer show up in your tools?

Freelance work usually runs through Upwork, Fiverr or a direct PayPal or Wise invoice, with access granted from the client's own Google Workspace and CRM. Revoking that access on the day the relationship ends is the client's job, and it is the step most often forgotten.

  • Letting a freelancer build templates, sheets and automations inside their own accounts instead of yours.
  • Judging the rate against a managed one without counting the hours you spend recruiting, training and covering absences.
  • Treating a long-running freelancer like an employee on schedule and supervision, which invites a classification problem.

Why does a freelancer matter?

Freelancers are the right answer for one-off, well-defined tasks where you have time to manage the person.
