How does call routing work?
- Map the paths first: sales, support, billing, emergencies, existing customers and everyone else.
- Set time conditions so business hours, lunch, evenings, weekends and holidays each have their own destination.
- Choose a distribution method per queue: ring all, round robin, longest idle, or a fixed order of priority.
- Define the fallback at every step: how many rings before the next target, and where a missed call finally lands.
- Review the missed-call report monthly and move rules when callers keep ending up in the wrong place.
A worked example
A veterinary hospital in Sacramento had one main number ringing every desk phone at once, so whoever was nearest picked up and often could not help. The practice manager rebuilt the routing: appointment calls go to the front desk queue, prescription refills to a pharmacy voicemail checked hourly, and anything pressed as an emergency rings the treatment area and a remote receptionist at the same time. After 7pm the main number goes to the remote after-hours desk with the emergency clinic's number in the script. Missed calls dropped sharply in the first month, and staff stopped taking calls for departments they could not help.

RingCentral, Dialpad, Zoom Phone and Aircall build routing through auto-attendants, call queues, ring groups and business-hours rules in the admin console. Twilio lets developers script routing directly, and HubSpot's calling tools log which path a call took so you can report on outcomes by route.
Common mistakes
- Building a six-level phone menu that callers abandon before they reach a human.
- Forgetting holiday rules, so the office greeting plays on a day nobody is there to pick up.
- Letting a departed employee's extension stay in the routing, sending callers to a voicemail box nobody owns.

Every misrouted call costs two conversations: the one the wrong person had and the one the right person now has to have. Clear call routing shortens time to help, reduces transfers and makes it possible to measure which lines are missing calls.
