After hours answering service for nonprofits & churches

AssistBPO's after hours, an answering service for nonprofits and churches keeps a person on your line when your staff have gone home and the calls that matter most tend to come. A family looking for a bed at the warming shelter, a member calling the church because someone is in the hospital, a donor giving before midnight on December 31, a volunteer who cannot find the event site on Saturday morning, a radio-thon pledge line that runs until nine.

How does after-hours answering work for nonprofits?

Your after-hours desk answers in your organization's name, follows the escalation tree you set, reaches the on-call pastor or the program director by phone for anything that cannot wait, gives callers the information on your FAQ sheet, and logs every call for the morning handover. Nobody gets voicemail, and nobody gets advice the desk is not qualified to give. Weekend, holiday and campaign-night cover is scheduled in advance so the same greeting and the same rules apply at 11pm as at 11am.

What tasks does after-hours answering cover for nonprofits and churches?

  • Evening, overnight, weekend and holiday answering in your organization's name
  • Pastoral emergencies routed to the on-call pastor by phone, not by message
  • Shelter, pantry and program availability answered from the information staff leave each evening
  • Year-end and campaign-night giving questions answered with a link to the giving page
  • Event-day calls handled with directions, parking and check-in details
  • Requests for help logged with the details your intake process needs
  • Escalation tree followed by call type, with backup contacts for each
  • Morning handover listing every call, caller and action taken

The KPI that matters here

Answer rate outside office hours and time from an urgent call to the on-call staff member being reached, both logged per call and reviewed weekly.

What rules does after-hours answering follow for nonprofits?

  1. IRS acknowledgment rules and Form 990. Donor acknowledgments follow IRS Publication 1771: a written receipt at the threshold the IRS sets, the goods-or-services statement on quid pro quo gifts, and the date and amount recorded. Assistants send letters from your approved template and gather Form 990 schedule data for your accountant, and never give tax advice to donors.
  2. State charitable solicitation registration. Most states require a charity to register with the attorney general or secretary of state before soliciting, and many require annual renewal. Assistants calendar the renewals and prepare the forms; signing and filing stay with your leadership or counsel.
  3. Donor calls, texts and card data. Nonprofit calls carry some exemptions under the FCC's TCPA rules, but every outbound campaign still goes out with lawful consent and do-not-call scrubbing. Card details are never taken by phone; donors give through your PCI-scoped giving platform. UK charities also follow the Fundraising Regulator's Code of Fundraising Practice and UK GDPR.

Frequently asked questions

What happens if someone calls in crisis at night?

The desk follows the escalation plan you approve. The caller is kept on the line, their name and number are taken, and the on-call pastor or the designated staff member is reached by phone immediately. If the caller describes danger to themselves or others, the desk asks them to contact emergency services and gives the crisis line numbers you specify, then alerts your staff. The desk does not counsel and does not promise help it cannot arrange; it connects the caller to someone who can.

Can the night desk tell callers whether the shelter has space?

Only from the information your staff leave each evening: bed count, intake cutoff time, what to bring and where to go, updated by text or a shared sheet as things change. The desk relays that, gives directions and logs the caller. If the sheet says full, the desk gives the alternatives you list. Nothing is promised that staff have not confirmed, and the morning handover shows every caller who was turned away.

Do you cover December 31 and campaign nights?

Yes. Year-end giving nights, Giving Tuesday, radio-thons and telethons are scheduled ahead with extra capacity, the giving page link and the receipt policy ready, and a staff contact available for questions the desk cannot answer. Callers who want to give are sent the giving link by text or email, or told where to mail a check postmarked by the deadline, and the development office gets a list of every caller the next morning.
