Client intake services for education & tutoring

AssistBPO's client intake services for education businesses turn a family's first yes into a complete, consistent enrollment file before the first session or the first day. The student's grade, subjects, goals and any learning needs the parent chooses to share; schedule availability; tutor or class placement preferences; emergency contacts and authorized pickups; consent, media and policy forms; payment setup through your portal; and the assessment or orientation booking.

How does client intake work for education?

Your intake specialist runs the same script every time in plain language, in Spanish or French on request, enters the record in your student information system or tutoring platform with access limited to the fields the task needs, chases missing forms until the file is complete and hands it to the tutor or teacher with a checklist. Sensitive information such as IEP or 504 notes is captured only where your policy allows and stored only in your system. Nobody tells their story twice.

What tasks does client intake cover for schools, tutoring companies and education businesses?

  • Intake calls and forms completed with the student's grade, subjects, goals and availability
  • Learning support notes captured under your policy and stored only in your system
  • Emergency contacts, authorized pickups and medical alerts entered and verified
  • Consent, media release and policy acknowledgment forms sent, tracked and filed
  • Payment setup completed through your portal, never by card details on the phone
  • Tutor or class placement matched to your rules and the parent's preferences
  • Assessment or orientation booked and confirmed in writing
  • Handoff checklist to the tutor, teacher or center director

The KPI that matters here

Share of new students whose file is complete before the first session, and the days from a family's yes to that first session. Complete files mean the tutor starts teaching, not collecting paperwork.

What rules does client intake follow for education?

  1. FERPA for student records. Education records are handled under the Family Educational Rights and Privacy Act, overseen by the US Department of Education. Assistants work inside your student information system under your permissions with access limited to the task, disclose records only to a parent or eligible student after your verification steps, and never discuss grades or progress on the phone unless your policy allows it.
  2. COPPA and student data online. The FTC's Children's Online Privacy Protection Act rule governs accounts and data for children under 13. Assistants create student logins only with the parent's verified consent through your process, and student data stays in your LMS or SIS, never in personal files.
  3. TCPA and CAN-SPAM for parent outreach. Re-enrollment calls, reminder texts and email campaigns go out with lawful consent and do-not-call scrubbing under FCC rules, and every campaign email carries your identity and an unsubscribe. In the UK, PECR applies; in Canada, CASL; in Australia, the Spam Act.
  4. Child safety and staff checks. Assistants never supervise, teach or have unsupervised contact with students. Your background-check and child protection policy governs the people who do, and the assistant only routes the paperwork for them.

Frequently asked questions

How do you handle IEP, 504 and learning-needs information during intake?

Only as your policy allows and only in your system. The specialist asks the questions your intake form includes, records the parent's answers in the designated fields and never in email or notes outside the system, and flags the file for the director or a specialist tutor when your rules say so. Documents the family provides are uploaded to the student's record, not stored with us. The specialist does not interpret or advise; the placement decision stays with your team.

Can intake run in Spanish or other languages?

Spanish and French intake are available on request, with the script and forms translated and approved by your bilingual staff so the wording matches your policies. For other languages the specialist uses your interpreter service, notes the family's language preference on the record and books an interpreter for the assessment or orientation where you provide one. Every later contact then goes out in the right language.

What if a family stops responding halfway through intake?

The specialist follows a chase schedule you approve: a reminder the next day, a call two days later, a final note at a week, all logged in the CRM. Families who respond are picked up where they left off, not started over. Families who go quiet are marked with the stage they reached and the reason if known, so the director can decide whether to hold the tutor slot or release it to the waiting list.
