## How does customer support work in the United Kingdom?

UK customers write in with a particular set of expectations: a reply the same working day, an agent who understands the Consumer Rights Act when a product is faulty, and no runaround when they ask what data you hold on them. Our support desk is built for that. Agents are employees of the group, trained on your help centre and your tone of voice, and work your queue from 8am to 6pm on GMT or BST. First-line tickets are closed with your macros and articles; second-line issues are reproduced, tagged and passed to your engineers or ops team. Subject access requests are recognised on sight and routed to your privacy owner so the one-month deadline is never missed. Every reply is written in British English, refunds and replacements follow the 30-day right to reject and the six-month rule, and complaint handling records what was promised. Ticket data stays in your help desk under a UK GDPR processing agreement with the international data transfer addendum. Quotes are in GBP per agent for a block of hours, not per ticket.

## What is different about running this desk in the United Kingdom?

The same desk, run to the rules, hours and vocabulary of this market.

1. ### Consumer Rights Act 2015 in replies
Faulty goods carry a 30-day right to reject, then repair or replacement, and the burden of proof sits with the seller for the first six months. Agents follow reply templates that reflect these rules so customers get the right answer first time and your complaint ratio stays low.
2. ### Subject access requests
A customer asking for their data is exercising a UK GDPR right with a one-month clock. Agents tag the ticket, acknowledge it in your wording and hand it to your named privacy owner the same day. They never compile the response themselves.
3. ### UK hours and escalation
The desk runs 8am to 6pm UK time. Tickets that arrive overnight are triaged first thing so the morning backlog is cleared before 10am; urgent ones can page an on-call contact by arrangement. Bank holiday cover is agreed per client.
4. ### UK support cost context
UK-based support and PA staff are quoted at £25 to £45 an hour by agencies, employed PAs average £15.33 an hour on PayScale, and offshore managed full-time staff publish at £900 to £2,000 a month against £3,000 to £5,000 for a UK hire (PayScale, SVA and 2026 agency price lists).

## What does your assistant handle?

- Ticket triage, prioritization and routing in your help desk
- Level 1 resolution from your knowledge base and macros
- Level 2 how-to and account resolution for trained agents
- Escalation to engineering, billing or management with full context
- Multichannel coverage: email, chat, social and phone where needed
- Knowledge base gaps logged and articles drafted for approval
- Macro and saved-reply library maintained in your voice
- Customer follow-up until each ticket is confirmed closed
- CSAT and reopen tracking with weekly commentary
- Peak, launch and outage surge coverage under the same lead
- End-of-day report on volume, backlog and escalations
- Monthly QA scorecard on accuracy, empathy and resolution

## Deliverables and KPIs

| Deliverable | KPI we report |
| --- | --- |
| Tickets resolved in UK hours | Resolution rate, backlog age at 6pm |
| First reply time | Median first response against the target you set |
| Subject access requests routed | Routed the same day, none missed |
| Escalations handed over with reproduction steps | Escalation rate, time to hand-off |
| Monthly QA scorecard | Accuracy, empathy, policy and closure on a scored sample |

## How it works

1. ### Match
A 20-minute discovery call on channels, ticket volume, your help desk, product complexity and the hours to cover. Within 72 hours we propose named agents with relevant product or industry experience, plus a backup, and name the team lead who will run the desk.
2. ### Onboard
Agents complete your product training, read your policies and macros, and work a shadow week where the team lead reviews every reply before it goes out. We agree escalation paths, refund limits and the ticket tags you want, then move to live tickets in stages.
3. ### Daily rhythm
Each agent starts by clearing the oldest and highest-priority tickets, works the queue through the shift, logs escalations with context and finishes with an end-of-day report: tickets closed, backlog age, escalations open and anything that needs your decision.
4. ### Weekly review
20 minutes with the team lead on volume, response times, ticket drivers, help center gaps and staffing for next week. Every month the team lead scores a random sample of tickets on the QA scorecard and shares the results with the agents and you.

## Frequently asked questions

### How much does customer support outsourcing cost in the UK?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. To place it, UK agencies quote £25 to £45 an hour for UK-based support and PA staff, PayScale puts an employed UK assistant at £15.33 an hour, and offshore managed full-time agents are advertised at £900 to £2,000 a month against £3,000 to £5,000 for a UK employee once National Insurance and pension are added (PayScale, SVA and 2026 agency price lists). We quote in GBP per agent for a block of hours, with the team lead, QA and weekly reporting included.

### Do you have support agents in the UK?

No. Agents are employed by SS Support Network LLC and work from the group's offices in Vancouver, Washington and a second office in Pakistan, rostered to your UK queue from 8am to 6pm. They write in British English, know UK consumer law well enough to apply your policy correctly, and are managed by a team lead who reports to you. We do not run a UK office and we do not use freelancers or a shared pool. If a client's contracts require support staff on UK soil, we will say so and step aside.

### Will the agents write in British English and in our tone?

Yes. Onboarding starts with your help centre, your best 50 replies and a tone guide the team lead writes with you: how formal, how much apology, when to use a customer's first name. Agents draft in British spelling with pounds, day-month-year dates and UK phrasing, and the first two weeks of replies are reviewed before sending. After that the monthly QA scorecard samples replies for accuracy, empathy and voice, and anything that drifts is corrected in the following week's coaching.

### Which help desks and channels can you cover for UK clients?

Zendesk, Freshdesk, HubSpot Service Hub, Intercom, Help Scout and Gorgias for tickets; email, web forms, in-app messages and social DMs as channels; live chat through our chat desk and phones through the reception desk if you want one team across all of them. Agents work inside your instance with their own logins, so reporting, macros and SLAs stay in the tool you already pay for. Adding a channel is a brief update and a training session, not a new contract.

### How do you handle complaints and faulty goods under UK law?

With templates that match the Consumer Rights Act and your own policy. A faulty item reported within 30 days is offered a refund; after that, repair or replacement, with the six-month presumption in the customer's favour noted in the reply. Complaints are acknowledged the same day, logged with what was promised and by when, and escalated to your named owner if they mention a regulator, an ombudsman or a chargeback. Agents never argue the law with a customer; they apply the policy and record the outcome.

### Can you add agents for Black Friday and the January sales?

Yes. Peak cover is planned with the team lead about six weeks ahead: extra agents trained on the same help centre and macros, extended hours on the days you expect volume, and a daily backlog report so nobody is surprised. Because the added agents sit under the same lead and the same QA scorecard, quality does not drop the way it does with a temp pool. After the peak, the desk scales back to the core team and the notes from the busy weeks are folded into the knowledge base.
