## How does after-hours answering work in the United Kingdom?

Out-of-hours calls in the UK are rarely casual. A tenant with no hot water in January, a care client's family at 9pm, a locksmith enquiry at midnight, a patient in pain on a Sunday. Our after-hours desk answers those calls in your company name from the moment your day team logs off at 6pm until 8am, plus Saturdays, Sundays and bank holidays if you want them. The receptionist is employed by the group, works a staffed night shift rather than being woken by a pager, and follows an escalation tree you write with the team lead: what counts as urgent, who is on call this week, how many times to try their mobile before moving to the next name. Routine calls are logged and summarised in a handover email that lands before your 8am shift starts. Every caller's details are handled under a UK GDPR processing agreement, and the greeting carries a recording notice where you record. Quotes are in GBP for a shift, not a per-minute meter, so a stormy weekend does not become a surprise bill.

## What is different about running this desk in the United Kingdom?

The same desk, run to the rules, hours and vocabulary of this market.

1. ### Escalation on UK terms
The tree is written in your language: emergency repairs under a tenancy, a safeguarding concern, a caller who mentions chest pain, a boiler out with a vulnerable person in the house. Each has a named on-call route, and the receptionist never gives medical or safety advice beyond your written script.
2. ### Bank holidays and clock changes
Cover can include all eight England and Wales bank holidays, plus Scottish and Northern Irish dates where you trade there. The overnight rota follows the March and October clock changes so the 6pm to 8am window stays fixed on your local time.
3. ### Caller data overnight
Names, numbers, addresses and the reason for the call are personal data under UK GDPR. They are logged in your CRM or job system, not a night-desk notepad, under a DPA with the international data transfer addendum, and the morning handover goes to named addresses only.
4. ### UK after-hours benchmarks
UK answering providers such as Moneypenny and Verbatim sell dedicated receptionist cover, and UK virtual PA rates run £25 to £45 an hour; offshore managed full-time staff are advertised at £900 to £2,000 a month (Moneypenny, SVA and 2026 agency price lists).

## What does your assistant handle?

- Live answering in your company name from close to open, every day
- Weekend and public-holiday coverage on the calendar you set
- Escalation tree: who to call, in what order, for which situations
- Urgent calls patched through or relayed to the on-call person
- Messages for the morning delivered by email, SMS or CRM note
- Appointment or job booking overnight if your calendar allows it
- Caller reassurance scripts for stressful calls, approved by you
- Tenant, patient or customer records updated in your system
- Morning handover report before your first employee arrives
- Escalation log with the time each on-call attempt was made
- Holiday-schedule planning with the team lead each quarter
- Monthly QA scorecard on escalation accuracy and tone

## Deliverables and KPIs

| Deliverable | KPI we report |
| --- | --- |
| Calls answered 6pm to 8am and at weekends | Answer rate and speed to answer by hour of night |
| Urgent calls escalated to on-call | Minutes from call to on-call contact reached |
| Routine calls held for the morning | Messages in the 8am handover, none escalated in error |
| Overnight bookings and jobs logged | Jobs or appointments booked outside office hours |
| Escalation tree audit | Wrong-path escalations found in the monthly review |

## How it works

1. ### Match
The discovery call covers your closing and opening times, weekend and holiday calendar, the situations that count as urgent and who is on call. Within 72 hours we propose a named receptionist on the shift that maps to your night, plus a backup on the same rotation.
2. ### Onboard
We build the escalation tree with you: which callers and situations get a patch-through, which get a call to the on-call person, which wait until morning. Your number forwards to the desk at close, either by schedule inside RingCentral or Dialpad or by a carrier rule, and it forwards back at open. Test calls run against every branch of the tree.
3. ### Daily rhythm
The receptionist takes the line at close with the on-call roster for that night, answers and escalates through the shift, logs every call, and sends the morning handover before your first employee arrives: calls taken, escalations made, messages waiting, jobs booked.
4. ### Weekly review
Twenty minutes with the team lead on overnight volume by hour, escalations that could have waited, callers the tree did not cover and the roster for next week. Each month the team lead scores recorded calls on the QA scorecard, with escalation accuracy weighted highest.

## Frequently asked questions

### How much does an after hours answering service cost in the UK?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. UK providers such as Moneypenny and Verbatim sell dedicated receptionist cover on team plans, UK virtual PA and reception rates run £25 to £45 an hour, and offshore managed full-time staff are advertised at £900 to £2,000 a month against £3,000 to £5,000 for a UK-based employee (Moneypenny, SVA and 2026 agency price lists). We quote in GBP for a staffed evening, weekend or overnight shift rather than metering minutes, which matters most on the night the phone does not stop.

### Do you have night staff in the UK?

No. Overnight receptionists are employees of the group working a staffed shift from our second office in Pakistan, where 6pm to 8am UK time falls in the working day, with day cover from our Vancouver, Washington office. Nobody is woken by a pager. They answer in your company name, follow your escalation tree and are trained on UK vocabulary, from tenancy repairs to care terms. We do not have a UK office and we do not use freelancers. If you need a UK-based responder on site, we pair with your own on-call rota.

### How do you decide what is urgent at 2am?

You decide in advance and the receptionist applies it. The escalation tree lists the situations that must wake someone, a leak through a ceiling, a lone worker not checking in, a client in distress, and the situations that wait for the morning, a quote request, a change of appointment, a query about an invoice. Each urgent path names who to call, in what order and how many attempts. Anything the tree does not cover is treated as urgent by default, because a wrong wake-up costs less than a missed emergency.

### How is the on-call person reached?

By phone first. The receptionist tries the on-call mobile with a warm transfer so the caller is introduced rather than made to repeat themselves, retries the agreed number of times, then moves to the next name on the rota, and sends an SMS and an email with the details at every step so the trail is visible. Rotas live in a shared sheet or your job system and can be changed by your team at any hour. The morning handover shows every escalation with times, so you can see how quickly each was picked up.

### Can after-hours cover be combined with daytime answering?

Yes, and most UK clients run it that way: the daytime receptionist from 8am to 6pm, the after-hours desk from 6pm to 8am and across weekends, one greeting, one escalation tree and one message channel. The handover between the two is a shared log rather than a phone call, so the day team starts with the night's messages already sorted. Bank holidays can sit with either desk. If you only need evenings or only weekends, the shift is sized to that rather than to a full night rota.

### Is it the same receptionist on our line every night?

A small, named team rather than one person, because a single receptionist cannot cover seven nights a week. Your line is assigned to two or three receptionists who all train on your brief and your escalation tree, with a team lead who reviews the handovers. Callers hear the same greeting and the same approach whoever picks up. Quality is scored on the monthly QA scorecard, and if a receptionist moves off your line the replacement is trained before the change, not after.
