## Why do Trello users need a virtual assistant?

Trello is simple enough that everyone uses it and light enough that nobody maintains it. Founders, small agencies, content teams, property managers and event planners run boards for editorial calendars, client onboarding, hiring, maintenance and launches. The trouble arrives quietly: cards with no due date, labels that mean different things to different people, a Doing list with forty cards, checklists half ticked, and a board so long that people stop scrolling. An assistant gives each board a keeper: turning emails, chats and meeting notes into cards with owners, dates and checklists; applying the label system; moving cards when work actually finishes; archiving what is dead; keeping Butler rules and Power-Ups working; and sending a weekly note on what moved, what stalled and what needs your decision. The team keeps its simple tool; it just stays clean.

## What can a virtual assistant do inside Trello?

**Boards, lists and cards**
: Create cards from emails, chats and meeting notes with a clear title, description, owner and due date, place them in the right list and keep list order meaningful across every board.

**Labels and card templates**
: Maintain one label system per board with a short legend, apply labels consistently and keep card templates ready for recurring work such as blog posts, onboarding or maintenance jobs.

**Checklists and due dates**
: Break cards into checklists with assignees and dates on each item, tick items as work is confirmed done and chase owners when a date passes.

**Butler automation**
: Build and maintain Butler rules, card buttons and scheduled commands that move cards, add checklists, set dates and post comments, and test them when a board changes.

**Power-Ups**
: Configure Power-Ups such as Calendar, Custom Fields, Card Aging, Google Drive and Slack, keep them within your plan's limits and remove those nobody uses.

**Views**
: Keep Calendar, Timeline, Table and Dashboard views usable by making sure cards carry the dates and custom fields those views depend on.

**Workspace administration**
: Manage board membership, guest access and Workspace settings, archive finished boards and keep the board list short enough to read.

**Weekly board summary**
: Send a short summary each week: cards completed, cards overdue, cards blocked, and three items that need a decision from you.

## Frequently asked questions

### What does a Trello virtual assistant actually do each day?

First thing, the assistant opens each board they own and works the Doing and Review lists: cards that have not moved get a comment to the owner, cards confirmed finished move to Done, and overdue dates are updated or escalated. Then new work: emails, chats and yesterday's meeting notes become cards with owners, labels, dates and checklists. Card templates and Butler rules get checked whenever something looks off. The day closes with the end-of-day report, and Fridays include the weekly board summary with three decisions for you.

### Do you have Trello certified assistants?

Our assistants learn Trello through Atlassian's own guides and help center and then through supervised work on client boards, with a team lead signing off before they take a desk. We claim no Atlassian or Trello partner, certified or reseller status of any kind. What you get is an employed assistant who already runs boards, Butler rules and Power-Ups every day, works under the Workspace permissions you set, and has a trained backup and a team lead behind them.

### How much does a Trello virtual assistant cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. Because Trello upkeep rarely fills a whole day, most clients fold it into a part-time virtual assistant or project coordinator on the Executive & admin desk who also handles inbox, scheduling or meeting notes. Teams running many client boards may need more hours. Your Trello Workspace and plan stay in your name. The staffing plan shows hours, desk and backup cover so you can compare it with an in-house hire on the same page.

### Our boards are a mess. Can the assistant clean them up first?

Yes, and it is the usual first week. The assistant reviews each board with you for twenty minutes, agrees the list structure and a label legend, then archives dead cards, merges duplicates, adds missing owners and dates, rebuilds checklists from card descriptions and sets up two or three Butler rules that keep the structure honest. Finished boards are closed and the Workspace board list is trimmed. You get a short before-and-after note per board, and the daily upkeep starts the following week.

### Can the assistant run our editorial or content calendar in Trello?

Yes, that is one of the most common uses. Each content piece is a card that moves from Idea to Brief to Drafting to Review to Scheduled to Published, with a checklist for the steps and a custom field for channel and publish date. The assistant creates cards from your content plan, chases writers and designers on due dates, attaches drafts and graphics, keeps the Calendar view accurate and can pair with the content writing or social media desks to produce the work as well as track it.

### How do you handle access and confidentiality?

You add the assistant to the Workspace as a member, or to individual boards as needed, and you can remove that access at any time. Our staff are employed, background-checked and under NDA, work on managed devices with multi-factor authentication turned on, and do not export board data unless you ask for a report. Private boards stay invisible unless you add the assistant. If the engagement ends, every board, card, template and Butler rule stays exactly where it is.
