# Assistants who work in Make

AssistBPO's Make virtual assistant looks after your scenarios inside your own Make organization. Checking execution history each morning, resolving incomplete executions, reconnecting apps, documenting every scenario, testing changes on a clone before you approve them and building new scenarios from your briefs.

- Automation
- Your account, your data

[Get a staffing plan](https://assistbpo.com/get-a-staffing-plan/) [Book a 20-minute call](https://assistbpo.com/book-a-call/) One named assistant, a trained backup and a team lead who reviews operations usage and errors with you weekly.

In short

- Incomplete executions resolved and retried before data goes missing
- Error handlers, connections and webhooks kept healthy on every scenario
- Scenarios documented and blueprints backed up so nothing lives in one head

## Why do Make users need a virtual assistant?

Make attracts people who outgrew simpler automation tools: routers, iterators, aggregators, data stores and error handlers let one scenario do real work. That power has a cost. A scenario with 30 modules is hard for anyone but its author to read, incomplete executions pile up after an API returns something unexpected, a webhook queue fills while nobody notices, operations usage creeps up because a scenario polls every minute for data that changes twice a day, and the blueprint exists only inside the account. An assistant turns your scenarios into an asset the business can manage. They read the execution history every morning, resolve and retry incomplete executions, reauthorize connections, document each scenario in plain language with a backed-up blueprint, build new scenarios from your brief on a clone with test data, and report operations used, errors and backlog every week.

## What can a virtual assistant do inside Make?

**Execution history and incomplete executions**
: Reviews the execution history daily, opens each incomplete execution to find the module and the input that failed, resolves and retries where the cause is fixed and escalates the rest with the execution log attached.

**Error handlers**
: Adds Resume, Ignore, Break, Rollback or Commit handlers where a scenario has none, after you approve the behavior, and checks that break directives create incomplete executions you can act on rather than silent drops.

**Connections and webhooks**
: Reauthorizes expiring connections, moves them to accounts your organization owns, monitors webhook queues and tests each webhook with a sample payload after any upstream change.

**Building scenarios**
: Builds scenarios with routers, filters, iterators, aggregators, data stores and the HTTP module from your written brief, tests on a clone with sample data and schedules them to run only after your sign-off.

**Operations usage**
: Tracks operations per scenario, changes polling intervals, adds filters and uses webhooks instead of polling where possible to reduce waste, and warns you before the monthly allowance is reached.

**Data stores and data structures**
: Keeps data stores clean, removes stale records, maintains data structures when a source changes its fields and documents what each store is for.

**Documentation and blueprints**
: Names scenarios by process, writes notes inside each scenario, exports blueprints to a folder you own after every change and keeps a register of scenario, owner, purpose and downstream dependency.

**Weekly report**
: Sends runs, incomplete executions, operations used, connections due to expire and the build backlog every week, reviewed with the team lead on the weekly call.

## Integrations we handle

- Make and [Google Workspace](https://assistbpo.com/software/google-workspace/)
Maintains Sheets, Drive, Gmail and Calendar modules and catches expired Google connections before a scenario fails.
- Make and [Airtable](https://assistbpo.com/software/airtable/)
Keeps record syncs and field mappings correct between Airtable bases and other tools after a base change.
- Make and [Notion](https://assistbpo.com/software/notion/)
Manages scenarios that create and update Notion pages and databases, and fixes property mismatches when a database changes.
- Make and [Slack](https://assistbpo.com/software/slack/)
Routes alerts, approvals and error notifications to the right channel and trims notifications nobody acts on.
- Make and [HubSpot](https://assistbpo.com/software/hubspot/)
Keeps contact, deal and ticket scenarios writing to the correct properties and checks for duplicates created by triggers.
- Make and [ChatGPT](https://assistbpo.com/software/chatgpt/)
Maintains OpenAI modules that draft, classify or summarize inside scenarios, with a human review step where your policy requires one.

## Which Make admin tasks can you delegate?

## Frequently asked questions

### What does a Make virtual assistant do each day?

The morning is the execution history. Every incomplete execution is opened, the failing module and its input found, and the fix applied where it is within scope: a connection reauthorized, a filter adjusted, a data structure updated. Runs are retried and the incident logged. Anything that needs your developer is written up with the execution ID and the bundle that failed. The rest of the day goes to the build and documentation queue: new scenarios from your briefs, tested on a clone, and blueprints exported. The end-of-day report lists errors fixed, scenarios changed and open items.

### Do you have Make certified assistants?

Make runs an academy with course completions and a partner program, and we do not claim Make certification or partner status for AssistBPO staff. Our assistants are trained on Make before joining a client organization: scenarios, modules, routers, filters, iterators and aggregators, error handlers, data stores, webhooks, execution history, operations and connections, then supervised work under a team lead. AssistBPO holds no partner, reseller or affiliate status with Make or Celonis. The product name on this page identifies the platform your automations run in.

### How much does a Make virtual assistant cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. Make upkeep is usually part of an operations assistant or project coordinator seat that also handles process follow-up, reporting and the tools your scenarios connect, priced per person for monthly hours on the Executive & admin desk. Organizations with a large scenario estate across several teams sometimes want a dedicated automation seat. We never charge per scenario or per operation, and your Make subscription stays in your name.

### How is access to our Make organization managed?

You invite the assistant to your Make organization and team with a role that lets them view and edit scenarios and execution history without organization admin rights, billing or API key management. They sign in from a managed device with multi-factor authentication under their own login, so scenario history shows who changed what. Connections are created under accounts your organization owns. Our staff are employed, background-checked and under NDA. Remove the member and access ends immediately, with scenarios, connections and data stores untouched.

### We are moving from Zapier to Make. Can the assistant help?

Yes. The assistant inventories the Zaps first, documents what each one does and what data it carries, and groups them by process. Then they rebuild them as Make scenarios on a clone, often merging several Zaps into one scenario with a router, test each with real sample data, and run both in parallel for the period you choose before the Zap is turned off. The register lists every migrated process with its owner. Custom apps, API-level work and anything touching your codebase stay with your developer, who gets a clean brief from the assistant.

### Will the assistant build complex logic or just maintain what exists?

Both, within the brief you approve. Routers with several paths, iterators over line items, aggregators that build one email from many records, data store lookups and HTTP calls to services without a native module are all within scope, and every build is tested on a clone before scheduling. What stays with your developers is custom app creation, code modules and anything that changes your own systems' APIs. The assistant writes a plain-language note inside every scenario so the backup, your team and your developer can read it later.
