# Assistants who work in Grasshopper

AssistBPO's Grasshopper virtual assistant holds an extension on your account and picks up before your number forwards to a phone in your pocket. Answering in your business name, taking messages, returning voicemail from the Voice-to-Text transcripts, replying to business texts, booking consultations and writing every call into your CRM by hand.

[Get a staffing plan](https://assistbpo.com/get-a-staffing-plan/) [Book a 20-minute call](https://assistbpo.com/book-a-call/) One named assistant, a trained backup and a team lead.

In short

- Your Grasshopper number answered by a person, not a forwarded cell
- Voicemail transcripts worked every morning and the inbox closed out
- Every call typed into your CRM, because Grasshopper will not do it

## Why do Grasshopper users need a virtual assistant?

Grasshopper is not a phone system in the usual sense. It is a business number, a greeting and a set of extensions that forward to phones people already carry. That is exactly why it suits a solo attorney, a trades business or a two-person startup, and exactly why calls get missed. The number forwards to a cell that is in a meeting, on a roof or driving. Voicemail piles up, the Instant Response text goes out and nobody follows it, and the unified inbox fills with threads that were never answered. Grasshopper also has no CRM connection and no API, so nothing is recorded anywhere unless a person records it. An assistant is the fix for both halves. They hold an extension, answer in your business name, work the inbox thread by thread, return voicemail, reply to texts, book the consultation, and write the call into the software you actually run your business in.

## What can a virtual assistant do inside Grasshopper?

**Extensions and call forwarding**
: Takes an extension of their own with calls forwarded to them first, so your number is answered by a trained person rather than rolling through to the phone in your pocket.

**Main greeting and extensions**
: Writes and records the main greeting and department extensions in your voice, updates them for closures and holidays, and checks the menu reads correctly from an outside line.

**Unified inbox**
: Works the activity feed for each number thread by thread, so a call, a text and a voicemail from the same contact are handled once and closed rather than left sitting unread.

**Voicemail transcription**
: Reads the Voice-to-Text transcript each morning, returns the calls in priority order and writes the message into your calendar, CRM or case file within the same shift.

**Business texting**
: Replies to texts on your business number from approved templates and sends confirmations and reminders with lawful consent and do-not-call scrubbing, logging opt-outs the same day.

**Instant Response**
: Keeps your automatic missed-call text current inside the 160 character limit, then does the part most owners never get to, which is calling the person back the text promised to.

**Virtual fax**
: Receives and files inbound faxes, sends the ones you approve, and keeps a log so a signed form is never lost somewhere between an inbox and a desk.

**Call logs and manual CRM entry**
: Grasshopper does not push data anywhere, so the assistant enters every caller, call and outcome into your CRM or case management system by hand, the same day it happened.

## Integrations we handle

- Grasshopper and [HubSpot](https://assistbpo.com/software/hubspot/)
Grasshopper sends nothing to a CRM, so the assistant creates the contact, logs the call and sets the follow-up task in HubSpot by hand after each conversation.
- Grasshopper and [Google Workspace](https://assistbpo.com/software/google-workspace/)
Checks the calendar before promising a time, books the appointment while the caller is on the line and sends the confirmation from your own domain.
- Grasshopper and [Calendly](https://assistbpo.com/software/calendly/)
Texts the right booking link straight after a call, or books the slot for the caller when they would rather not click anything at all.
- Grasshopper and [Clio](https://assistbpo.com/software/clio/)
Runs a new caller through your intake questions and conflict check, then opens the matter and files the call note, which is a record Grasshopper will never create.
- Grasshopper and [Jobber](https://assistbpo.com/software/jobber/)
Turns a call about a leak or a quote into a request with the address, access notes and preferred window, then confirms the visit by text.
- Grasshopper and [QuickBooks Online](https://assistbpo.com/software/quickbooks-online/)
Takes billing questions off your line, finds the invoice and sends the copy or payment link rather than reading card details onto a call.

## Frequently asked questions

### What does a Grasshopper virtual assistant do on a shift?

They sign in on your extension so forwarded calls reach them first, and answer in your business name with the greeting you approved. Each call ends somewhere: a consultation booked, a quote request captured, a question answered, or a message sent to you with a callback number and how urgent it is. Between calls they work the unified inbox, return voicemail from the transcripts, reply to texts and type each call into your CRM. At the end of the shift you get a list of calls taken and what still needs you.

### Do you have Grasshopper certified assistants?

Grasshopper has no certification for receptionists, so there is nothing for us to claim and we do not claim it. Our phone staff train on Grasshopper before joining a client: the desktop and mobile apps, extensions and forwarding rules, the unified inbox, voicemail transcripts, business texting, Instant Response, faxing and the admin settings they are allowed to touch. Supervised calls follow, scored by a team lead against your greeting and your intake questions. AssistBPO is not a Grasshopper partner, reseller or affiliate, and the product name here identifies your phone service only.

### How much does a Grasshopper virtual assistant cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. A dedicated assistant on the Front desk & phones desk is priced per person for a block of monthly hours in your time zone. Shared coverage is priced per call, which suits a solo practice taking a handful of calls a day. After-hours and weekend cover is a separate block with a named backup. Your Grasshopper account, number and any add-ons stay in your name, and we do not resell them or mark them up.

### How do we set the assistant up on our Grasshopper account?

You add an extension for the assistant and set your forwarding so their extension rings first, with your own phone as the fallback. They sign in to the Grasshopper app from a managed device with multi-factor authentication under their own login, which keeps their calls and texts separate from yours in the logs. Billing and number ownership stay with you. Our staff are employed, background-checked and under NDA. Remove the extension and access ends immediately, with your number, greetings and history untouched.

### Grasshopper has no CRM integration. How do calls get logged?

A person types them in, which is the only way it happens on Grasshopper. There is no API and no native CRM connection, so the assistant writes each call into whatever you run on: HubSpot, Clio, Jobber, a Google Sheet or a case file. They follow a fixed note format you approve, so every entry has the caller, the number, what was asked, what was promised and the next step with a date. The team lead spot-checks the entries against the call log each week to catch anything missed.

### Is this the same as Ruby, the receptionist add-on Grasshopper offers?

No, and we do not resell Ruby or have any link to it. Ruby is an answering service whose receptionists cover many businesses at once and pass messages along. We employ one named assistant who works only your account, learns your services, your intake questions and your objections, books into your calendar, types into your CRM and answers the texts as well as the calls. They have a trained backup and a team lead who scores their calls monthly. The trade-off is straightforward: shared cover is lighter, a dedicated person knows your business.
