- Confirmed, rescheduled and unreachable status written back into your system
- Lawful consent and do-not-call scrubbing on every outbound contact

## What is an appointment reminder calls service?

An appointment reminder calls service is an outbound desk that contacts customers or patients ahead of a booked appointment, delivery or renewal date to confirm, reschedule or cancel, and records the outcome in the business's schedule or CRM. Consent is captured at booking. AssistBPO staffs it with a dedicated caller who also rebooks and fills the gaps.

## Who is the reminder calls desk for?

**Dental, medical and therapy practices**
: Recall and appointment reminders by HIPAA-trained staff under a BAA, with confirmations written into Dentrix, Open Dental or your practice system and cancellations refilled from the waitlist.

**Salons, studios, gyms and clinics with deposits**
: Reminders that mention the deposit or cancellation policy politely, so late changes fall inside your rules and the no-show rate drops.

**Trades, installers and delivery operations**
: Day-before confirmation of the service window, access instructions checked, and the customer's phone number verified for the on-the-way text.

**Insurance, memberships and subscriptions**
: Renewal reminder calls with lawful consent, a payment link sent, and the policy or membership record updated with the outcome.

## What does the reminder calls service include?

These 12 tasks are what AssistBPO's reminder calls desk handles as standard for a business that lives on its phones.

- Reminder calls on the schedule you set, such as two days before
- Reminder texts with lawful consent and an easy reply to confirm or change
- Consent and do-not-call status checked before every contact
- Confirmed, rescheduled, canceled or unreachable status written into your system
- Reschedules made on the call inside your booking rules
- Canceled slots offered to the waitlist the same day
- Delivery-window and service-visit confirmations with access details checked
- Renewal and expiry reminders for policies, memberships and contracts
- Recall lists worked for patients or customers who are overdue
- Wrong numbers and bounced texts flagged for record cleanup
- Daily reminder log: contacts attempted, reached, outcomes
- Monthly QA scorecard on script adherence and consent handling

## Deliverables and KPIs

AssistBPO reports 6 measures on the reminder calls desk: what lands on your desk, what we count, and how often you see the number.

| Deliverable | KPI we report | Cadence |
| --- | --- | --- |
| Reminders completed | Share of appointments reminded on schedule | Daily |
| Confirmations captured | Confirmation rate by channel and appointment type | Daily and weekly |
| Slots refilled | Cancellations rebooked or given to the waitlist | Daily |
| No-show rate | No-shows as a share of booked appointments, by provider | Weekly review |
| Record hygiene | Wrong numbers and consent gaps flagged and fixed | Weekly |
| QA scorecard | Consent handling, accuracy, tone | Monthly |

KPIs are what we measure and report, agreed per engagement in the weekly review. Service-level commitments are set in your agreement, not on this page.

## How does the reminder calls desk work?

1. ### Match
The discovery call covers your appointment or delivery volume, the reminder timing you want, the system the schedule lives in and how consent is captured at booking. Within 72 hours we propose a named caller with a clear phone manner and scheduling experience, plus a trained backup.
2. ### Onboard
We write the reminder script and text templates with you, load the reminder timing rules, confirm the consent field and do-not-call process in your system, and set up read-and-write access to the schedule. Test contacts go to your own staff first so you hear and read every message as a customer would.
3. ### Daily rhythm
The caller pulls the reminder list for the coming days each morning, checks consent and do-not-call status, works the list by call and text, records each outcome, rebooks anyone who cannot attend and offers freed slots to the waitlist. The end-of-day report shows every contact attempted and its result.
4. ### Weekly review
Twenty minutes with the team lead on confirmation rate by channel, no-show rate by provider or crew, unreachable customers and record fixes, and next week's volume. Each month the team lead scores recorded reminder calls on the QA scorecard, with consent handling weighted highest.

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. [The rate card](https://assistbpo.com/pricing/) carries the other currencies, the add-ons and the six things that move a plan off it.

## How much do reminder calls cost?

Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.

### What moves the plan

1. Hours a week and whether the desk is dedicated or shared
2. Phones: live answering needs a receptionist profile and a backup
3. Coverage zone: business hours, after-hours, weekends or 24/7
4. Tools and access to set up
5. One person or a pod with a lead

### What the market publishes

| United States | In-house receptionist median pay $38,010 a year; managed remote staff $640 to $2,400 a month full time, part-time 20 hours a week $350 to $1,300 | BLS Occupational Outlook, May 2025 data; Wishup and Cherry Assistant, 2026 |

### [Dental Practice Recovers Missed Recalls](https://assistbpo.com/case-studies/dental-front-desk-recalls/)

A multi-dentist practice in the US South had a front desk that answered every call but never reached the bottom of the recall list. Hygiene recalls, unscheduled treatment and insurance eligibility checks sat in the practice management system while the on-site team handled the lobby, the phones and checkout at the same time. The practice added a HIPAA-trained scheduler on a dedicated AssistBPO desk, working the practice's own hours inside their practice management software, with a trained backup and a team lead. The scheduler took the recall list, the unscheduled treatment report and next week's eligibility checks off the front desk completely. The on-site team kept the lobby and the chairside work. Recalls now go out every morning rather than in whatever quiet hour appears, and tomorrow's schedule is checked for gaps the day before.

## Frequently asked questions

### How much does an appointment reminder calls service cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, US answering plans that include outbound confirmations are published from about $235 a month for 50 minutes to $1,095 for 500 minutes, with per-minute overage (OnceHub and NextPhone, September 2026), and managed remote staff run $640 to $2,400 a month full time (Wishup, 2026). AssistBPO prices a reminder block or a dedicated caller for a set number of hours.

### Are reminder calls and texts legal?

Yes, when done with consent and inside the rules, which is how we run them. In the US, TCPA requires prior express consent for calls and texts to cell phones, calls stay between 8am and 9pm local time, and numbers are scrubbed against do-not-call lists. The UK applies PECR, Canada applies CASL and CRTC rules, and Australia applies the Spam Act and Do Not Call Register. Consent is captured at booking and checked before every contact, and every opt-out is honored immediately.

### Do you use robocalls or automated voices?

No. Every reminder call is made by a person, which is why customers pick up, confirm and reschedule on the same call rather than ignoring a recording. Texts are sent from your number or a number we provision on Twilio, with a reply that reaches a person. If you already run automated texts, the caller works the people who did not respond, which is where most of the no-shows hide.

### What happens when someone cannot make their appointment?

The caller rebooks them on the same call inside your rules, records the change in your system and immediately offers the freed slot to the waitlist or the next overdue recall. Cancellations inside your notice window are handled by your deposit or fee policy, stated politely and consistently. The weekly review shows how many canceled slots were refilled, which is the number that pays for the desk.

### Which systems do you write results into?

Practice systems such as Dentrix, Open Dental, athenahealth, eClinicalWorks, Kareo and Tebra; booking tools such as Calendly, Acuity and Mindbody; job systems such as ServiceTitan and Jobber; and CRMs such as HubSpot for renewals. The caller uses an account you create with the permissions you choose, marks each appointment confirmed, rescheduled, canceled or unreachable, and flags wrong numbers, so your own reports stay accurate.

### Can you do delivery and renewal reminders, not just appointments?

Yes. Delivery and installation confirmations check the window, the address and access instructions the day before, and verify the number for an on-the-way text. Renewal reminders for insurance policies, memberships, leases and service contracts go out on the schedule you set, with a payment link where relevant and the outcome recorded. Both follow the same consent and do-not-call rules as appointment reminders.

### How do you handle patient privacy on reminder calls?

Callers on practice desks are HIPAA-trained staff working under a BAA. Reminder content is limited to the date, time, location and provider unless you approve more, voicemails follow your minimum-necessary script, and nothing about the reason for the visit is said to anyone other than the patient or an authorized contact on file. Reminder lists are worked inside your practice system, never exported. SS Support Network, the group's healthcare desk, supports the team.

### Is the caller the same person every day?

Yes. One named caller learns your providers, your regulars and your policies, so a patient who always asks for the late slot gets offered it. A trained backup covers leave and breaks with the same script and system access, and a team lead runs the weekly review and the monthly QA scorecard. Reminder campaigns run on the same schedule whoever is on shift.
