# Never lose a call to a busy signal again

AssistBPO's overflow call answering catches the calls your own team cannot reach: the fourth ring on a Monday morning, the storm week, the day a promotion goes live. Calls roll to a named, employed receptionist working from your scripts, who answers in your name, takes the booking or message, and hands back when your team is free.

- Named assistant plus backup
- Your hours
- Front desk & phones

[Get a staffing plan](https://assistbpo.com/get-a-staffing-plan/) [Hear our demo receptionist](https://assistbpo.com/demo-line/) In short

- Calls roll to us after the rings or queue depth you set, in your name
- One named receptionist trained on your scripts, with a pod behind them for peaks
- Every overflow call logged with the reason it overflowed and what was done

## What is overflow call answering?

Overflow call answering is a backup line for busy periods: when in-house staff are on other calls or swamped by a campaign, the phone system routes unanswered calls to a trained team that answers in the company name. A rule sets when a call rolls over, usually after a number of rings. AssistBPO staffs it with employed receptionists.

## Who is the overflow call handling desk for?

**Trades in storm and heat-wave season**
: When every customer calls the same morning, overflow takes the fifth caller onward, books the job and tells them where they are in the line.

**Clinics and practices at peak hours**
: Monday 8am and the post-lunch rush covered by HIPAA-trained staff who book, reschedule and take messages while your front desk handles the room.

**E-commerce and retail during promotions**
: Launch days, sale weekends and shipping delays covered from your product sheet and order system, so your two support people do not drown.

**Accounting, insurance and agencies in season**
: Tax deadlines, renewal months and campaign launches handled by a receptionist who knows which partner or account manager owns which client.

## What does the overflow call handling service include?

These 12 tasks are what AssistBPO's overflow call handling desk handles as standard for a business that lives on its phones.

- Overflow routing after the rings or queue depth you choose
- Answering in your company name with your greeting and scripts
- Bookings, quotes and reschedules taken in your own system
- Messages and callbacks logged with the reason the call overflowed
- Warm transfer back to your team when someone frees up

- Campaign scripts written with you before the launch date
- Order status and delivery lookups from your store or CRM
- Voicemail sweep at the end of every peak so nothing is lost
- Callbacks made with lawful consent and do-not-call scrubbing
- Daily overflow report: volume by hour, outcomes, questions outside the script
- Quarterly peak calendar built with the team lead

## Deliverables and KPIs

AssistBPO reports 6 measures on the overflow call handling desk: what lands on your desk, what we count, and how often you see the number.

| Deliverable | KPI we report | Cadence |
| --- | --- | --- |
| Overflow calls answered | Overflow answer rate, average speed to answer | Daily |
| Bookings and orders captured | Calls converted to a booking, quote or order | Daily and weekly |
| Messages returned to your team | Messages delivered with complete fields | Per call |
| Peak-day readiness | Extra seats staffed on planned surge days | Per campaign or season |
| Overflow pattern report | Overflow volume by hour and cause | Weekly review |
| QA scorecard | Script adherence, accuracy, tone | Monthly |

KPIs are what we measure and report, agreed per engagement in the weekly review. Service-level commitments are set in your agreement, not on this page.

## How does the overflow call handling desk work?

1. ### Match
The discovery call looks at your call history: which hours overflow, how often, what those callers want and where they go now. Within 72 hours we propose a named receptionist for the baseline overflow and a plan for the pod on your known peak days.
2. ### Onboard
We write the overflow scripts with you, covering the twenty questions your busiest callers ask, and set the routing rule inside RingCentral, Dialpad, Aircall or Zoom Phone, or by carrier forwarding on busy or no answer. A live test on a normal day confirms calls roll at the right moment and return correctly.
3. ### Daily rhythm
The receptionist is on standby through your hours, takes every call that rolls over, books or messages by your rules and transfers back when your team is free. Between overflow calls they work the admin tasks you assign. The end-of-day report shows every overflow call with the hour, the cause and the outcome.
4. ### Weekly review
Twenty minutes with the team lead on the overflow curve by hour, the callers who could not be helped from the script, upcoming campaigns and whether the ring threshold needs moving. Each month a sample of overflow calls is scored on the QA scorecard.

## Hours, coverage and models

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. [The rate card](https://assistbpo.com/pricing/) carries the other currencies, the add-ons and the six things that move a plan off it.

## How much does overflow call handling cost?

Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.

### What moves the plan

1. Hours a week and whether the desk is dedicated or shared
2. Phones: live answering needs a receptionist profile and a backup
3. Coverage zone: business hours, after-hours, weekends or 24/7
4. Tools and access to set up
5. One person or a pod with a lead

### [HVAC Company Stops Losing After-Hours Calls](https://assistbpo.com/case-studies/hvac-after-hours-calls/)

A residential HVAC company in the US Midwest was losing its best calls to voicemail. Once the office closed at five, the phone rolled to a message, and on the first hard freeze or the first heat wave of the season the overnight queue filled with homeowners who then called the next company on the list. The on-call technician was answering his own cell between jobs and taking addresses on the back of a work order. AssistBPO put a named after-hours desk on the line with a trained backup and a team lead, working inside the company's own field service software. Calls are now answered by a person overnight and at weekends, triaged against a script the owner wrote, booked into the next available slot or escalated to the on-call technician by the rules the owner set. Storm nights get extra cover.

## Frequently asked questions

### How much does overflow call answering cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, US overflow plans are published per call from about $292 for 30 calls with $9.75 a call overage, or per minute from $235 for 50 minutes with $2.95 to $4.70 a minute overage (OnceHub and NextPhone, September 2026). Those meters run fastest on exactly the days you need cover most. AssistBPO prices a standby desk or a person for a block of hours, with peak pods planned in advance.

### When does a call roll over to you?

When you say so. The common rules are after a set number of rings, when your queue reaches a set depth, when everyone in your ring group is on a call, or on a schedule such as lunch hour. The rule lives in your phone system or carrier settings, so you can tighten or loosen it yourself. Many clients start at four rings, look at the weekly overflow curve, and then move it to three because the data shows callers hanging up.

### Can you handle a sudden spike, like a storm or an outage?

Yes, within reason. The named receptionist takes the first wave, and the team lead can pull in trained backups from the front-desk pod on the day. For spikes you can see coming, such as a launch, a seasonal deadline or a forecast heat wave, we book a pod a week ahead and brief them on the scripts. What we will not do is promise unlimited capacity on the day, because that would mean routing your callers to untrained people.

### Will overflow callers get the same answers as callers your team handles?

That is the point of the script work in onboarding. We list the twenty questions your busiest callers ask, write the answers with you and keep them current in the weekly review. The receptionist books, quotes and answers from that sheet and your systems. Anything outside it becomes a message with the question captured word for word, and the report shows how often that happened so you can extend the script.

### Do overflow calls come back to our team?

Yes, whenever a caller needs someone specific. The receptionist checks whether that person is free, warm-transfers with a short introduction if they are, and takes a message if they are not. Messages arrive by SMS, email, Slack or a CRM note with the reason the call overflowed, so your team can see at a glance that it came in during the morning rush rather than being missed.

### Can overflow include orders and payments?

Orders and quotes, yes: the receptionist works inside Shopify, your CRM or your job system and captures what the caller wants. Card payments, no. The receptionist never takes card numbers on the phone; buyers are sent your secure payment link or transferred to your team. This keeps you inside your PCI obligations and keeps the overflow desk simple to audit.

### How do we know overflow is working?

The weekly report shows overflow volume by hour, how long callers waited before the roll, what each call resulted in and how many came back to your team. Set against your own answered-call numbers, it shows the calls you were losing before and the hours that still hurt. Clients often use it to decide whether to hire another in-house person, move the threshold or make the overflow desk permanent.

### Is this the same as your phone answering service?

Overflow is a subset. The phone answering service can cover the whole line full time; overflow only takes the calls that get past your team. Buyers who have a front desk that mostly copes but leaks calls at peak times start with overflow. Buyers who want the line handled end to end use phone answering or the virtual receptionist service. Moving from one to the other is a plan change, not a new engagement.
