# Bookings, reminders and reschedules, handled

AssistBPO's appointment scheduling service gives you a named scheduler who books, confirms, reschedules and fills your calendar inside the system you already use, from Calendly to Dentrix to ServiceTitan. Callers and web requests are handled in your hours by a person who knows your providers, your buffers and your rules, with a backup trained on the same book.

## What is an appointment scheduling service?

An appointment scheduling service is a staffed desk that takes booking requests by phone, web form, email or text, places them in the business's calendar or practice management system, sends confirmations, handles reschedules and works a waitlist to fill gaps. At AssistBPO the desk is one dedicated scheduler in your hours, not a shared queue or a booking widget.

## Who is the appointment scheduling desk for?

**Medical, dental and therapy practices**
: Recalls, new-patient bookings and same-day reschedules placed in Dentrix, Open Dental, athenahealth or eClinicalWorks by HIPAA-trained staff under a BAA.

**Salons, spas, studios and gyms**
: Class and treatment bookings in Mindbody or Vagaro, waitlists worked when a slot opens, deposits requested through your own payment link.

**Trades and home services**
: Service windows booked in ServiceTitan, Jobber or Housecall Pro with the address, access notes and equipment details the technician needs before rolling.

**Consultants, coaches and multi-provider clinics**
: Discovery calls and sessions booked across time zones with the right buffers, prep questions sent ahead and no double bookings.

## Deliverables and KPIs

AssistBPO reports 6 measures on the appointment scheduling desk: what lands on your desk, what we count, and how often you see the number.

| Deliverable | KPI we report | Cadence |
| --- | --- | --- |
| Appointments booked | Bookings per day, share booked on first contact | Daily |
| Confirmations sent | Confirmation rate, time from booking to confirmation | Per booking |
| Gaps filled from the waitlist | Canceled slots refilled, utilization by provider | Daily and weekly |
| No-shows reduced | No-show rate by provider and appointment type | Weekly review |
| Recall list worked | Recalls contacted and booked | Weekly |
| Schedule accuracy | Double bookings and missing-field errors found in audit | Monthly QA scorecard |

KPIs are what we measure and report, agreed per engagement in the weekly review. Service-level commitments are set in your agreement, not on this page.

## How does the appointment scheduling desk work?

1. ### Match
The discovery call maps your providers, appointment types, durations, buffers and the system you book in. Within 72 hours we propose a named scheduler who has worked in your kind of calendar, a practice system for clinics or a job board for trades, plus a backup trained on the same rules.
2. ### Onboard
We turn your booking rules into a one-page playbook: who can see which provider, minimum notice, deposit policy, what to offer a caller who wants a slot that does not exist. The scheduler gets a user account in your system with the permissions you choose, and a week of shadow bookings runs before go-live.
3. ### Daily rhythm
The scheduler opens the day by checking tomorrow's book for gaps and unconfirmed slots, then works inbound requests, the waitlist and recalls through your hours. Every change is logged with a timestamp, and the end-of-day report shows bookings made, moved, canceled and the gaps still open.
4. ### Weekly review
Twenty minutes with the team lead on utilization by provider, the no-show rate, the reasons callers could not be booked and any rule changes for next week. Each month the team lead audits a sample of bookings and calls on the QA scorecard.

## Hours, coverage and models

AssistBPO staffs the appointment scheduling desk on 4 models. US Eastern to Pacific, UK and Australian Eastern hours from the group's two offices. Evening and weekend booking coverage on request.

- Dedicated scheduler, 80 or 160 hours a month, in your hours

## What are the terms on the appointment scheduling desk?

The card, the contract terms and the appointment scheduling desk's own numbers, in one place.

| Specification | What you get |

| Focus, 20 hours a week | $800 a month, 80 hours |
| Dedicated, 40 hours a week | $1,600 a month, 160 hours |
| Evening, weekend or overnight cover | Tier rate plus 20 percent |
| Desk | [Front desk & phones](https://assistbpo.com/services/desks/front-desk-phones/) |
| Standard schedule | Dedicated scheduler, 80 or 160 hours a month, in your hours |
| Coverage | US Eastern to Pacific, UK and Australian Eastern hours from the group's two offices. |
| Tools | 10 platforms, including Calendly, Acuity Scheduling, Mindbody |

| Setup fee | None |
| Minimum term | Month to month, no lock-in |
| Notice | 30 days, to stop or to change hours |
| If the fit is wrong | Trained backup covers the desk the same day, re-match at no charge |
| Continuity | One named assistant, one named backup, one team lead |
| Who does the work | Employed by SS Support Network LLC, never freelancers or contractors |

These are rate-card starting points. What you pay depends on the hours, the desk and the coverage window, which is what the staffing plan sets. Rates improve as you add assistants. Your staffing plan states the rate for the number of seats you need. [The rate card](https://assistbpo.com/pricing/) carries the other currencies, the add-ons and the six things that move a plan off it.

## How much does appointment scheduling cost?

Plans start at $400 a month for 40 hours, at $10 an hour, and rates improve as you add assistants. Get a staffing plan within 1 business day.

### What moves the plan

1. Hours a week and whether the desk is dedicated or shared
2. Phones: live answering needs a receptionist profile and a backup
3. Coverage zone: business hours, after-hours, weekends or 24/7
4. Tools and access to set up
5. One person or a pod with a lead

### [Dental Practice Recovers Missed Recalls](https://assistbpo.com/case-studies/dental-front-desk-recalls/)

A multi-dentist practice in the US South had a front desk that answered every call but never reached the bottom of the recall list. Hygiene recalls, unscheduled treatment and insurance eligibility checks sat in the practice management system while the on-site team handled the lobby, the phones and checkout at the same time. The practice added a HIPAA-trained scheduler on a dedicated AssistBPO desk, working the practice's own hours inside their practice management software, with a trained backup and a team lead. The scheduler took the recall list, the unscheduled treatment report and next week's eligibility checks off the front desk completely. The on-site team kept the lobby and the chairside work. Recalls now go out every morning rather than in whatever quiet hour appears, and tomorrow's schedule is checked for gaps the day before.

## Security and compliance

1. HIPAA-trained staff and a BAA for any practice that shares patient names or visit details

3. No patient or client lists exported, printed or stored outside your system
4. Deposits and card payments go through your payment link; the scheduler never handles card numbers
5. Employed, background-checked staff under NDA, on managed devices with MFA

## Country rules for this service

AssistBPO makes outbound calls, texts and emails only with lawful consent and do-not-call scrubbing. Assistants never take card numbers. [Country rules](https://assistbpo.com/compliance/).

- US: reminder calls and texts need prior express consent under TCPA; texts to cell phones need written consent
- US healthcare: HIPAA minimum-necessary access to the schedule, under a BAA
- UK and Australia: PECR and the Spam Act 2003 govern reminder texts; consent is captured at booking

## Frequently asked questions

### How much does an appointment scheduling service cost?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For a sense of the market, US answering-and-booking plans are published from about $235 a month for 50 minutes up to $1,095 for 500 minutes, and an in-house receptionist earns a median $38,010 a year before benefits (BLS, May 2025 data). AssistBPO prices a named scheduler for a block of hours, so the cost does not climb with every booking made in a busy week.

### Which scheduling systems do you work in?

Whatever you already run. Practices: Dentrix, Open Dental, athenahealth, eClinicalWorks, Kareo and Tebra. Studios and salons: Mindbody, Vagaro, Acuity. Trades: ServiceTitan, Jobber, Housecall Pro. Everyone else: Calendly, Google Calendar or Microsoft 365. The scheduler learns your setup during onboarding, uses an account you create with the permissions you choose, and follows your rules for appointment types, durations and buffers. We do not move you to a new tool.

### Can you handle medical appointment scheduling?

Yes. Schedulers on practice desks are HIPAA-trained staff working under a BAA, with minimum-necessary access to the schedule. They book by appointment type and provider, respect block schedules and room limits, collect insurance details if your intake asks for them, and send pre-visit forms. Clinical questions are never answered; they go to the practice. SS Support Network, the group's healthcare desk, backs the team with eligibility checks and recall work if you need them.

### How do you reduce no-shows?

Three habits. First, every booking gets a confirmation the same day. Second, reminder calls and texts go out on the schedule you approve, with lawful consent and do-not-call scrubbing, and anyone who cannot make it is rebooked on the spot instead of vanishing. Third, the waitlist is worked as soon as a slot opens so the gap is filled. The weekly review tracks the no-show rate by provider and appointment type, so you can see which changes are working.

### What happens when a caller wants a time that is not available?

The scheduler offers the two nearest alternatives with the right provider, then the waitlist for the preferred time. If your playbook allows it, they can offer an earlier slot with a different provider or a shorter appointment type. Callers who decline everything are logged as unbooked with the reason, so the weekly review shows demand you are turning away and you can decide whether to open more slots or add capacity.

### Do clients contact the scheduler directly to reschedule?

They can. Reschedules arrive by phone, reply to a confirmation text, email or web form, and the scheduler handles each within your notice-period rules: free moves outside the window, your deposit or fee policy inside it. The old slot is released to the waitlist immediately. Anything unusual, such as a client asking to waive a fee, is passed to you as a message rather than decided by the scheduler.

### Is the scheduler the same person every day?

Yes. One named scheduler works your hours and learns your providers, your regulars and your quirks, such as the doctor who blocks Friday afternoons or the stylist who needs 15 minutes between color appointments. A trained backup covers breaks and leave, and a team lead runs the weekly review. The playbook and the audit log mean the backup can step in without your patients or clients noticing a change.

### Can the scheduler also answer our phones?

Yes, and for practices with fewer than five providers it is the usual setup: one person answers the line, books, confirms and works the recall list in the gaps. Above that volume, scheduling becomes a full-time job on its own and a separate receptionist takes the line. The discovery call sizes it from your call and booking counts, and the plan can change as the practice grows.
