## What rules does data entry follow for nonprofits?

1. **IRS acknowledgment rules and Form 990.** Donor acknowledgments follow IRS Publication 1771: a written receipt at the threshold the IRS sets, the goods-or-services statement on quid pro quo gifts, and the date and amount recorded. Assistants send letters from your approved template and gather Form 990 schedule data for your accountant, and never give tax advice to donors.
2. **State charitable solicitation registration.** Most states require a charity to register with the attorney general or secretary of state before soliciting, and many require annual renewal. Assistants calendar the renewals and prepare the forms; signing and filing stay with your leadership or counsel.

### How do you avoid creating duplicate donor records?

By searching before entering, every time, using the matching rules your database supports: name plus address, email, phone and household links. Event imports and online gifts are checked against existing records before they are merged in, and the specialist runs a duplicate report weekly and merges confirmed matches following your rules on which record wins. New duplicates found and duplicates merged are both counted in the weekly report so you can see the database getting cleaner.

### Can you enter data for our grant reports?

Yes. Program staff hand over attendance sheets, intake forms, surveys or case notes, and the specialist enters them into your case management or outcomes system or the funder's template with the source file kept beside the entry. Totals are checked against the sheets before the report is assembled. The specialist does not interpret outcomes or write the narrative; that stays with the program lead. ### Do you handle church contribution statements?
