Your HIPAA-trained data entry assistant works under a BAA in your hours in AxisCare, WellSky, AlayaCare, RouteGenie or your system, entering from source documents with a second check on every batch and an exceptions list at the end. New client setup means demographics, payer, authorization, emergency contacts and care plan tasks before the first shift. Caregiver setup means profile, skills, certifications with expiry dates, availability and pay rate entered from the personnel file. Trip data entry means completed trips reconciled against manifests with pickup and drop-off times for broker billing. Every engagement runs under a business associate agreement, staff are HIPAA-trained before they see a care plan or a trip, access is minimum necessary, and breach notification follows the HHS Office for Civil Rights rules. 2. **EVV under the 21st Century Cures Act.** Medicaid-funded personal care and home health visits must be verified electronically under the Cures Act, enforced by CMS through each state's aggregator. Assistants work exceptions in your EVV system daily so visits are complete, verified and billable, and never alter a caregiver's recorded times without a documented reason and your approval. 3. **No clinical decisions.** Assistants schedule, coordinate and relay. Tasks are entered from the RN's signed assessment exactly as written, with frequency and any notes, and checked against the source by the backup or team lead before the client's first schedule is built. The assistant does not interpret or add tasks; anything unclear is listed as an exception for the RN. Changes to the care plan are entered only from a signed update, and the previous version is kept in the record. ### Can you enter trip data for broker billing? Yes. Completed trips are entered with pickup and drop-off addresses, scheduled and actual times, mileage, vehicle, driver, member signature or attestation and the broker authorization number, then reconciled against the manifest. Trips missing a required element are listed for the dispatcher before the claim is submitted. The assistant enters the data; claim submission stays with your billing team or TransportBPO if you use them. ### Do you handle caregiver credential records? Yes. Each caregiver's certifications, background check, TB test, CPR card, driver license, training hours and competency checks are entered with issue and expiry dates from the personnel file, and the expiry list is checked weekly with reminders to the caregiver and your manager 30 days ahead.
