What is a pod? A pod is a small group of assistants working the same account or the same kind of work together under one team lead, sharing procedures, tools and coverage. Instead of one person carrying a desk alone, a pod spreads volume, holds longer hours and keeps the account knowledge in more than one head.

## How does a pod work?

1. Size it to volume and hours, commonly three to ten people plus the lead who balances them.
2. Give everyone the same procedures, saved replies and escalation table, so answers do not vary by person.
3. Split by shift or by queue, then require a written handover at every boundary.
4. Keep one shared view of the work, so nobody holds a private list only they can see.
5. Report the group's numbers together and the individual scores privately with the lead.

## A worked example

A subscription box company takes 900 tickets in a normal week and 2,400 after a launch. Five people work one shared queue: two on order issues, two on general questions, one on escalations and refunds, with the lead moving people as volume shifts. Launch weeks pull in two extra who already trained on the account. The company talks to the lead rather than to five assistants, and gets one weekly set of numbers.

## Where does a pod show up in your tools?

Pods usually appear as a group in Zendesk, Freshdesk or Intercom with shared views and round-robin assignment, and as a ring group in RingCentral or Dialpad for phones. Shift handovers and the on-shift runbook tend to live in Slack or Microsoft Teams beside a Notion page.

## Common mistakes

- Building one before the volume justifies it, which spreads knowledge thin and raises the cost per task.
- Letting each member develop a private way of answering, so customers get different answers by luck.
- Reporting only group totals, which hides the one person who needs coaching.

## Why does a pod matter?

One assistant is the right answer for a desk that fits one person, and the wrong one for a queue that doubles in December. A group adds capacity without restarting training each time, because the knowledge sits in the team and its written procedures. It is also how coverage stretches beyond a single working day.
