# What is overflow call handling?

What is overflow call handling? Overflow call handling is an arrangement in which calls your in-house team cannot answer within a set number of rings, or while every line is busy, are automatically forwarded to a backup team of receptionists who answer in your name. The in-house desk still takes the first call; overflow catches the second, third and tenth callers during peaks so nobody hears a busy tone or voicemail.

## How does overflow call handling work?

1. Set a trigger in the phone system: forward on busy, forward after four rings, or forward when the queue exceeds a number.
2. The overflow team receives the call with your greeting and a screen pop of your account instructions.
3. They handle what the script allows, such as booking, messages and basic questions, and pass the rest back as a callback.
4. Callbacks and messages land in your inbox or CRM within minutes, tagged as overflow so you can see the volume.
5. Monthly reports show how many calls overflowed, when, and what happened to them, so staffing can be adjusted.

## A worked example

A tax preparation office in Minneapolis has two front desk staff who cope fine for ten months of the year. From February to mid-April the phone rings constantly and callers were hitting voicemail and going elsewhere. The office set its system to overflow to a remote receptionist team after three rings. During the season the remote team answered roughly a third of all calls, booked appointments directly into the office calendar and took document questions as messages. The in-house staff kept handling walk-ins and the first call in the queue, and the office added no seasonal hires.

## Where does overflow call handling show up in your tools?

Overflow is configured as a call queue overflow rule or forward-on-busy setting in RingCentral, Dialpad, Aircall and Zoom Phone, often with a maximum wait time before the call leaves the queue. Bookings made by the overflow team go into Calendly, Acuity or your practice calendar, and messages can be logged as HubSpot activities.

## Common mistakes

- Setting the ring threshold so high that callers hang up before overflow ever triggers.
- Giving the overflow team no booking access, so every call becomes a callback the in-house desk still has to make.
- Never reviewing the overflow report, which is the clearest evidence of when your desk is understaffed.

## Why does overflow call handling matter?

Peaks are where revenue is lost: the busiest hour of the day is also the hour with the most missed calls. Overflow call handling lets a small team keep its own front desk while making sure a person answers the calls that would otherwise go to voicemail.
