What is an hours bank? An hours bank is a prepaid block of assistant hours a client buys in advance and draws down as work is done. The provider logs time against the balance and reports what is left, and the client can spend the hours on whatever tasks matter that month rather than on one fixed job description.

## How does an hours bank work?

1. The client buys a block, for example 10, 20 or 60 hours, and the balance appears on a statement.
2. Time is logged per task in minutes, and the running balance is shown with the work it was spent on.
3. Any task type inside the agreed scope can draw from the same balance, which suits varied, lumpy workloads.
4. Providers set expiry and rollover rules; UK agency Virtalent publishes £1,680 for 60 hours with rollover.
5. When the balance runs low the client tops up, and unspent time is handled by the rollover clause.

## A worked example

A boutique fitness studio in Michigan bought a 20-hour block for admin help. In January the hours went on rebuilding the class schedule and chasing lapsed memberships. In February most of the block went on a new intake form and merchant queries. The owner liked that she did not have to define a permanent role to get help. What she did have to do was check the monthly statement, because two hours disappeared into a task she would not have approved in advance.

## Where does an hours bank show up in your tools?

Hours banks are tracked in the provider's own time tool, often Toggl, Harvest or an internal portal, and reconciled to a task list in Asana, ClickUp or Airtable so each logged entry points at a piece of work you can recognize.

## Common mistakes

- Buying a block with no priority list, so the hours go to whoever asks loudest and the important work waits.
- Ignoring the balance statement until the block is gone, then disputing entries nobody can remember.
- Using an hours bank for a daily covered desk, where a scheduled assistant is the cleaner fit.
