What is a cold transfer? A cold transfer, also called a blind transfer, is a phone handoff in which the caller is sent straight to another extension or number without the receiving person being told who is calling or why. It is fast and useful for simple routing, such as sending a caller to a voicemail box or a department line, but it forces the caller to introduce themselves again.

## How does a cold transfer work?

1. The receptionist identifies where the call should go, tells the caller they are being connected, and presses transfer.
2. The phone system rings the target extension, ring group or external number; the receptionist is out of the call immediately.
3. If nobody answers, the call follows the target's own rules: voicemail, forward to mobile or return to the queue.
4. Because there is no announcement, the receiving person sees only caller ID, so the transfer is logged for later context.

## A worked example

A regional insurance agency in Kansas City runs a main line that fields claims calls, billing questions and new quotes. Claims already have a dedicated carrier line with its own team, so the receptionist cold transfers those callers after confirming the policy type: 'I will connect you to the claims line now.' Billing and quote calls, where a colleague benefits from context, get a warm transfer instead. The agency wrote both rules into a one-page routing sheet, and a review of call recordings showed claims callers reaching the right team in under 30 seconds.

## Where does a cold transfer show up in your tools?

In RingCentral and Dialpad the blind transfer option sends the call immediately, while Zoom Phone and Aircall label it as transfer now. Ring groups and call queues built in the same tools decide what happens if the target does not answer, and HubSpot call logging records the transfer target.

- Cold transferring an upset customer, who then has to restart the whole complaint with the next person.
