What is an appointment setter? An appointment setter is a person who contacts prospects by phone, email or message to book meetings, demos or consultations for a salesperson or service provider. The setter does not close the sale; their job is to confirm the prospect is a fit, find a time that works and put a confirmed appointment on the closer's calendar with useful notes.

## How does an appointment setter work?

1. A target list is prepared from inbound leads, past customers or a researched prospect list with consent status checked.
2. The setter works a short script: introduce, confirm the need, handle the first objection, propose two time slots.
3. Booked meetings go straight into the closer's calendar with a confirmation email or text to the prospect.
4. A reminder sequence runs 24 hours and 1 hour before the meeting to cut no-shows.
5. Results are tracked as contacts, appointments set, appointments held and outcomes, reviewed weekly.

## A worked example

A solar installer in New Jersey collected 200 web enquiries a month but the two sales reps only reached a third of them. An appointment setter now calls every enquiry within 15 minutes of arrival, confirms the home is owner-occupied and the roof is under 20 years old, and books a 30-minute site assessment on the nearest rep's calendar. Prospects get a text confirmation and a reminder the morning of the visit. Booked assessments went from about 25 to 70 a month, and the reps now spend their days at kitchen tables instead of on the phone.

## Where does an appointment setter show up in your tools?

Appointment setters usually work from a CRM such as HubSpot, Pipedrive or GoHighLevel, dial through Dialpad, RingCentral or Aircall, and book directly into Calendly, Acuity or a shared Google Calendar. Reminder texts and emails are triggered from the CRM or the scheduling tool.

## Common mistakes

- Booking anyone who says yes, which fills the calendar with unqualified meetings the closer cannot use.
- Running outbound from a purchased list without checking consent or scrubbing against do-not-call registries.
