An AI-fluent assistant is a remote assistant who uses AI tools competently inside their existing work: drafting, summarizing, sorting, researching and building small automations. They know what the tools are good at, check every output before it leaves, and stay accountable for the result exactly as they would for typed work. Use the tools for first drafts, summaries and sorting, then edit against the facts before anything is sent. 2. Follow the client's data policy: approved tools only, permitted data only, inside the client's own workspace. 3. Check anything factual, including names, figures, dates and policy details, against the source record. 4. Hold the brand voice, treating a generated draft as raw material rather than a finished reply in your name. 5. Write down which tasks the tools handle well here, so the next person does not have to relearn it. ## A worked example A commercial insurance broker's assistant uses AI to condense long policy documents into a one-page brief before client calls, and to draft renewal reminders. Every figure in the brief is checked against the policy schedule, and the broker reviews anything mentioning coverage limits before it goes out. Drafting time across renewal season fell sharply while the broker still signs every word. Nothing touching claimant details goes near a general-purpose tool. ## Where does an AI-fluent assistant show up in your tools? ChatGPT is the common drafting and summarizing tool, with Zapier or Make wiring the output into wherever work actually lands, such as HubSpot, Notion or Google Workspace.
