# What are action items?

What are action items? Action items are the specific tasks agreed in a meeting or conversation, each with one named owner and a due date. They are the part of a meeting record that changes what happens next, and they are worthless without an owner, a date and a single place where they are tracked afterward.

## How do action items work?

1. Capture each one as a verb plus an object, so the task is a thing someone can start on Monday.
2. Assign exactly one owner; a task owned by a team or by two people is owned by nobody.
3. Set a due date at the meeting, not later, because dates agreed in the room are the ones people honor.
4. Read the action list back before the meeting ends so owners can object while everyone is still present.
5. Carry open items onto the next agenda with their original date, so slippage is visible rather than quiet.

## A worked example

A six-partner architecture practice in Maine ended every Monday meeting with agreement and no movement. An assistant started reading back the action list in the last three minutes, each item with one name and one date, then posting them into the shared task board the same afternoon. Anything still open on Friday got a short reminder. Within a month the Monday meeting shortened, because the first ten minutes were no longer spent reconstructing what had been promised.

## Where do action items show up in your tools?

Action items live in Asana, ClickUp, Trello, Monday.com or Notion, ideally created straight from the notes so nothing is retyped. Slack and Microsoft Teams reminders work for short-lived items, but anything with a due date belongs on the board where it can be seen next week.

## Common mistakes

- Writing items with no owner, which produces a list that looks like progress and creates none.
- Leaving them in the notes document instead of the task system, where the team actually works.
- Letting the same item roll forward for five meetings without asking whether it should be dropped.

## Why do action items matter?

The gap between a good meeting and a useless one is whether anyone can say who is doing what by when. Action items close that gap, and reading them back in the room is the cheapest quality check there is. Tracked in one place, they also show which commitments a team keeps and which it repeatedly does not.
