# Executive assistant services Australia, in local hours

AssistBPO's executive assistant services for Australia give a founder, partner or general manager one named EA running the inbox, diary, travel, meeting prep and follow-ups on a staffed AEST shift of 8am to 6pm. The EA is employed by the group with a trained backup and a team lead, and quotes are in AUD.

## How does an executive assistant work in Australia?

An Australian executive diary has its own awkward edges. A Perth call at 7am eastern, a Brisbane client who never changed clocks, board papers due the Friday before a long weekend that only exists in one state, and interstate travel that eats a day each way. Your EA holds all of it. They work a staffed AEST shift of 8am to 6pm, with extended AEST cover available on request when a deal or a board cycle needs it, and they own the calendar rather than merely watching it: booking against rules you set, protecting focus blocks, holding travel time for anything across the city, and sending a morning note with the shape of the day. Inbox triage runs three times a shift with drafts waiting for your words and routine replies already sent. Meeting packs arrive the evening before. Travel is booked inside your policy with one itinerary and the receipts collected for your bookkeeper. Personal information handled by an overseas assistant sits under Australian Privacy Principle 8 and our privacy addendum.

## What is different about running this desk in Australia?

The same desk, run to the rules, hours and vocabulary of this market.

1. ### Five time zones and two clock changes
Eastern states move for daylight saving, Queensland does not, South Australia keeps a half-hour offset and Western Australia stays on AWST. The EA writes both times into any invitation that crosses a border, checks the diary in the week after each changeover, and treats Perth calls as an early-morning commitment to be protected rather than squeezed in.
2. ### Privacy Act 1988 APP 8 for an overseas EA
Your EA sees calendars, contact details, board material and occasionally personal matters. APP 8 requires reasonable steps before personal information goes to an overseas recipient, so we sign a privacy addendum, restrict access to named systems, use managed devices with no local storage and enforce multi-factor sign-in. Board material stays in your document system and is never emailed to an outside address.
3. ### State public holidays and the board calendar
Public holidays differ by state and some are regional, so a national leadership meeting can lose two people without warning. The EA loads your state's calendar plus the states your executives sit in at the start of the year, flags clashes before invitations go out, and plans the pre-Christmas and Easter windows early because Australian diaries close hard in those weeks.
4. ### What an EA costs in Australia
Onshore Australian VAs and EA services publish A$39.90 to A$65 an hour, agency retainers run A$800 to A$3,000 a month, and a loaded in-house executive assistant costs A$91,000 or more a year, against full-time offshore staffing advertised at A$22,000 to A$35,000 (VA Platinum, Virtual Coworker and 2026 roundups).

## What does your assistant handle?

- Inbox triage three times a day with drafts ready for your approval
- Calendar ownership: scheduling, buffers, conflicts and time-zone math
- Gatekeeping rules for who gets time and who gets a polite no
- Travel research, booking, itineraries and changes inside your policy
- Meeting prep packs: agenda, attendee notes, last actions, documents
- Action-item capture after meetings and follow-up until closed
- Expense collection and monthly submission to your bookkeeper
- Personal admin that overlaps work: renewals, gifts, reservations
- Board, investor and leadership meeting logistics
- CRM and contact hygiene after every conversation
- Light research briefs before calls with a new contact
- End-of-day report with handled items, open items and tomorrow's plan

## Deliverables and KPIs

| Deliverable | KPI we report |
| --- | --- |
| Inbox at zero at the close of the shift | Unread count at 6pm and drafts waiting for you |
| Diary with no clashes and protected focus time | Double bookings, meetings moved inside 24 hours |
| Meeting pack the evening before | Packs delivered on time, per meeting |
| Travel booked inside policy with one itinerary | Booking lead time and changes handled without your input |
| Follow-up tracker with owners and dates | Open actions older than seven days |

## How it works

1. ### Match
A 20-minute discovery call on how you work: email volume, meeting load, travel pattern, the tools you live in and how much decision authority you want to delegate. Within 72 hours we propose a named executive assistant with a matching industry background, plus a trained backup.
2. ### Onboard
Week one is shadowing. Your assistant reads three months of sent mail to learn your tone, builds the gatekeeping rules and calendar preferences with you, and sets up delegated access in Google Workspace or Microsoft 365. By week two they are drafting replies and owning the calendar.
3. ### Daily rhythm
A short start-of-day check-in on priorities, inbox passes at the times you choose, meeting packs sent the evening before, and an end-of-day report listing what was handled, what is waiting on you and tomorrow's plan.
4. ### Weekly review
20 minutes with the team lead: hours by category, follow-ups still open, what to delegate next and coverage for the coming week. The team lead also checks a sample of drafts and calendar changes against your preferences each month.

## Frequently asked questions

### How much do executive assistant services cost in Australia?

Plans depend on hours, desks and coverage. Get a staffing plan within 1 business day. For orientation, onshore Australian VA and EA services publish A$39.90 to A$65 an hour, agency retainers run A$800 to A$3,000 a month, and a loaded in-house EA costs A$91,000 or more a year against offshore full-time staffing advertised at A$22,000 to A$35,000 (VA Platinum, Virtual Coworker and 2026 roundups). We quote in AUD with GST separate.

### Do you have executive assistants in Australia?

No. Your EA is employed by SS Support Network LLC and works Australian eastern hours from the group's offices in Vancouver, Washington and a second office in Pakistan. They are trained on Australian spelling, state conventions, domestic airline and hotel booking practice and the way an Australian board pack is put together before working with an executive. We have no Australian office and we do not use freelancers, and we will not pretend otherwise to your team.

### Can the EA send email as me?

Yes, once you have delegated it in writing and we both know the boundaries. Access comes through delegate or send-on-behalf permissions in Microsoft 365 or Google Workspace, so the EA signs in as themselves and every send is attributable. The standing exclusions for most Australian executives are pricing, contract terms, employment matters, anything from a regulator and anything a board member sends. Those are summarised and put in front of you the same shift.

### How does the EA handle a Perth or Auckland call at the edge of the shift?

By planning it rather than reacting. Early Perth calls are booked as protected commitments with the dial-in tested the day before, and anything outside 8am to 6pm eastern is either moved into the shift or covered by extended AEST cover, which is available on request. The EA states both time zones in every invitation and sends the reminder in the recipient's own time, which removes most of the missed-call problem on its own.

### How much should I delegate in the first month?

Less than you want to and more than feels comfortable. Start with the diary and travel, because both have clear rules and immediate proof. Add inbox triage in week two once the EA has read how you already reply. Meeting packs and follow-up tracking land in weeks three and four. Handing over everything at once usually produces a fortnight of corrections and a conclusion that it did not work, which is avoidable.

### Is it one person or a team?

One named EA, one trained backup and a team lead. You deal with the EA daily. The backup knows your account from the start and covers leave and illness without a cold handover. The team lead runs the weekly review, holds the monthly QA scorecard and is the person you escalate to if something is not right. We do not rotate a pool through your diary, because an executive assistant who does not know your habits is not much use.
